INTERNAL/EXTERNAL VACANCY ANNOUNCEMENT

HR and Admin Officer 

The Ethiopian Center for Disability and Development (ECDD) is an Ethiopian civil society development organization that works with other organizations to promote, facilitate and build organizational capacity to make mainstream government and non-governmental service delivery and development programs accessible to, and inclusive of, persons with disabilities.

ECDD is looking for an HR & Admin Officer to support the day-to-day activities of the Human Resources and Administrative Unit. The HR & Admin Officer reports to the Admin and Finance Manager (AFM) and will have responsibilities on HR and Admin Roles mentioned hereunder:

Responsibilities on HR roles

  • Following up and participating on preparation of TORs for new job posts, collecting CVs and applications in soft copies and hard copies, participate on screening processes,
  • Schedule job interviews and exam dates and contact candidates as needed,
  • Prepare reports and presentations on HR-related metrics like total number of hires, resignations, terminations, etc segregating in disability types, sex, positions, job locations, etc.
  • Follow up on inductions /staff developments and onboarding materials for newly hired employees,
  • Follow up (with the IT Officer) that organizational email addresses are created and ID cards are prepared and issued to the newly recruited staffs;
  • Respond to employees’ questions on leave balances, benefits, and related staff issues and follow up enrolling in and renewal of life and health insurances,
  • Gather payroll data like attendances, leaves, absentees, overtimes and prepare monthly payrolls and get approved to release the payment for the staffs on the 25th of every month,
  • And other related tasks when instructed by the AFM.

Job Requirements

Responsibilities on Admin roles

  • Follow up on the logistics issues and vehicles/property management in collaboration with the logistics officer,
  • The regular services and maintenances of the vehicles,
  • Annual insurance renewals, vehicle inspections, and vehicle registration renewal, insurance compensation claims for damages to the vehicles due to accidents, if any, and the timely renewal of own damage and third party insurances
  • Follow up procurements, affixing tags on the fixed assets, propose a list of items to be disposed/donated, updating fixed assets register,
  • Follow up on the office administration issues in collaboration with the Office Manager and the Office Assistant
  • The day-to-day activities of the Office Assistant and Cleaner/Tea service Provider and the guards,
  • Arranging and facilitating meetings for staffs, SMT, BoD, and General Assembly,
  • Liaise with government agencies and partners as required,
  • Ensure replenishment of office supplies including printed materials by raising purchase requests,
  • Follow up the General Service operations in collaboration with the General Service Clerk
  • Settling telephone, water, and electric bills and taxes/pensions on monthly basis,
  • Keeping the cleanliness of the ECDD Offices and the Compound, the building windows, doors and the surroundings, and the ECDD Vehicles
  • And other related tasks when instructed by the AFM

 Job Requirements

  • BA Degree in Management, Accounting, or related Social Field of Studies
  • Work experience – minimum four years. Experience in CSOs is advantageous
  • Basic knowledge of Ethiopian Labor Law
  • Computer skills on spreadsheets
  • Familiarity with Human Resources Information Systems (HRIS) is a plus
  • Good verbal and written communication skills in English
