ZOA is looking for a

Assistant Finance Officer

ZOA’s programme in Ethiopia

ZOA works in several regions in Ethiopia: Gambella Regional State (field office in Gambella Town), Somali Regional State (field office in Dolo Ado and Melkadida refugee camp), Tigray Regional State (field office in Shire and Mekelle), Oromia Regional State (field office in Harar), Amhara and Addis Ababa. In Ethiopia, ZOA works with Internally Displaced People (IDPs), host populations, persons with disabilities, returnees, and a large population of refugees who fled a combination of violence and drought in Somalia, South Sudan and Eritrea.

Your challenge

The Finance Assistant is to assist the Finance officer by managing the day-to-day operations of the Finance Department, responsible for Cash processing, payments and record keeping of the day to day transactions in accordance with ZOA policy and procedures. Assist in the preparation of regularly scheduled reports.

Typical Responsibilities - Key end Results of the Position:

  • Handles petty cash and replenish on monthly basis, and performs daily Cash Balance on excel
  • Makes payments of  personal income tax, Withholding taxes, pensions and provident  fund on time to the local government monthly
  • Prepare payroll and make payment to staff through bank
  • Respond to queries of field office finance department timely, and consult on any financial matters,
  • Adhere to finance to finance management policies and procedures of ZOA
  • Keep and maintain finance file properly, and submit to the country office finance department monthly
  • Make payments to various stakeholders as per ZOA finance management policies
  • Ensure advance to works to staffs are timely settled as per ZOA finance management policies
  • Develop and maintain a filing system
  • Maintain proper financial records on computer and filing of all relevant paperwork
  • Plan meetings and take detailed minutes
  • Update and maintain office policies and procedures
  • Provide support for staffs in copying and scanning of documents, posting announcements on the notice board
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors

Dealing with Problems:

The incumbent should have a small or medium degree of problem analysis for internal environment in order to propose viable solution which is in line with the organizational rules and regulations

Communications and Working Relationships:

Internally: strong working relationship with the Finance, Program and Support staffs, frequent communication with the CO Finance team

Externally: strong working relationship with the external business partners

Job Requirements

Educational Qualification and Experience

  • Diploma or Degree in Accounting and Finance
  • A minimum of 1 year's of work experience for Degree holders and 2 years of experience for the Diploma holders of similar post
  • Knowledge of financial administrative rules, regulations and procedures
  • Experience working in (I)NGOs and related organizations 
  • Knowledge of computers and relevant software application

Skills Specific to the Post

  • Good Oral and written English communication skills
  • Planning and organizing

  • Ability to work in a team environment
  • Knowledge of standard finance administrative practices and procedures
  • Excellent computer skills and in-depth knowledge of relevant software such as MS Office Suite and project management software
  • Knowledge of major donors relationship management and requirements
