Job Description

Purpose of the position:

As the program involves three regions with a multisector humanitarian response, it need a good deal of coordination, collaboration and proper administration management support to the leadership. As the leadership of NECR need to have, a good deal of document management, it involves expatriate staffs, organization of several regional and national level different workshops, facilitation of administrative activities, etc. NECR function involves a huge administrative works with the response leadership function. Hence, given the bulk of administrative works it sought to hire an administration assistance helping the NECR director and the response leadership positions.

Major Responsibilities:

  • Provide a range of administrative support services, including word processing, mail management, photocopying and filing, to support the effective and efficient operation of NECR
  • Provide a range of reception services, including managing visitors and callers to the Office and the other Units in the HO, and maintaining a tidy reception area, to ensure a professional reception is maintained for all the NECR;
  • Maintain database and other records in accordance with relevant systems, policies and procedures, to support effective and efficient records management of the NECR;
  • Provide information and advice on administrative policy and procedures, as required, to facilitate compliance in administrative activities within the operation of the NECR;
  • Field phone calls for Program staff whilst these staff are away from their office;
  •  Meet administrative needs of the response including making travel arrangements, organizing meetings and external seminars, catering;
  • Asses incoming correspondence, telephone enquiries, diary management, records management, the coordination of confidential briefing materials;
  • Use computer-based applications, including word, excel and in-house databases, record keeping software and other systems to produce correspondence, reports and other material as required;
  • Liaise with, and actively develop and maintain working relationships within the program, the wider organization and with external stakeholders;
  • Organize the NECR senior leadership team’s correspondence, coordinate travel and provide secretariat support for your team;

Job Requirements

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Education, training, license, registration, and certification

  • Bachelor Degree in Management, Administrative and Office Management or related fields 

Required Professional Experience

  • 5 yrs. in related experience, preferably in INGOs
  • Experience in Administration assistance

Preferred Knowledge and Qualifications

  • Good interpersonal, organizational and time management skills. Able to manage multiple tasks and meet deadlines.
  • Ability to maintain performance expectations in a continues changing environments
  •  Excellent written and verbal communication and relational skills, especially in a cross-cultural environment, and ability to analyze and solve problems, persuade, network and negotiate..
