ORGANIZATIONAL DESCRIPTION

The Ethiopian Medical Association (EMA) is one of the pioneering professional Associations in Ethiopia. The Association was formally established on July 2, 1962 G.C with 100 founding members. EMA is a member of the World Medical Association since 1994 G.C and currently has more than 3500 registered members.

It has ten branch offices in five regions (Gondar, Mekelle, Bahir Dar, Dessie, Jimma, Adama, Debre Markos Harare, Hawassa and Arba Minch). EMA has been operational for over 59 years on promoting quality of medical service in Ethiopia and evidence-based medicine through publishing the Ethiopian Medical Journal (EMJ) and with a to ensure that the community gets quality health service and care; promote the highest standards in medical education, science, art and practice and ensure the rights and benefits of medical professionals (doctors) and act as their voice.

POSITION INFORMATION     

JOB SUMMARY

Under the supervision of the Communication, Members and Regional Offices Affairs Manager, the Members and Regional Offices Affairs Officer is responsible for the execution of all membership issues of the Association. The overall role of the job incumbent is to manage membership database, increase membership base, increase new membership recruitment and retention of the existing members.

Major Duties and Responsibilities

  • Develop membership strategic direction for the Association that incorporates both national and regional chapters.
  • Facilitates schedules and coordinates the national membership meetings, workshops and other events.
  • Provides supporting services and documentation for chapters for their initiatives to deal with members. 
  • Conducts assessment surveys and proposes membership pricing (fees) strategy in line with the findings. 
  • Designs strategies for increasing the number of new members as well as the retention through innovative and effective campaigns and support processes.
  • Designs and implements membership promotions and marketing strategy by working closely with Chapters and secretariats in the other department.
  • Oversees the proper administration of membership administration process
  • In line with the EMA’s strategic pillar, the membership officer works strategically on ensuring the rights and benefits of the members of EMA.
  • Along with the IT of institution, ensures the standards of membership database, and website features in the way that it is reflects members’ needs and demand.
  • Conducts regular and periodic membership satisfaction surveys and proposes strategies for the improvement as per the findings.
  • Conducts regular assessment to identify, collect and report membership issues.
  • Closely works with the Communication & IT officers and prepare the necessary letters, flyers and emails for members for the dissemination of important information for members. 
  • Collects and enters member data into software; review new membership records for completeness.
  • Contributes in producing internal communications for members (news, events, and evidence based practice).
  • Conducts continuous recruitment campaign using diversified media (radio, website, tv, newspaper).
  • Communicates with members via phone, email or face to face, through regional offices for recruitment as wells as fulfillment of the rights of members.

  • Performs other related activities as assigned by the immediate supervisor.

Reports To: Manger, Communication, Membership and Regional Offices Affairs

Duty Station: Addis Ababa with frequent travel to regional branches

Position Grade: V

Job Requirements

 Education and Qualification

  • Master's or Bachelor's Degree in any health related profession or Communication & PR disciplines but having some health related backgrounds.  
  • 4/6 years of experience with strong background working with membership management or related activities. In addition, experience in data base management and customer service is advantageous.  

Additional Training:

  • Computer training certificate and best in Microsoft excel access and database management.
  • Customer service training certificate
