Our primary task is to promote improvements in the individual and collective capacities of the children, families and communities with whom we work.

Job purpose:

Ayuda en Acción is seeking experienced candidate for the position of procurement and logistics officer to provide support in procurement of goods and services mobilization of these, vehicle hiring, facilitate transportation and handing over processes of project items. He/she provides supports to AeAE staffs, guests, visitors in visa related matters, arrange workshop, meeting, training places, effecting payments for services.

 Position Description:

The successful candidate will report to the Finance and Administration director and establish strong functional relations with other functions at national and field offices.

 He/she will be responsible for the day to day support and management and administration of procurement and hiring of vehicles for field work and transportation of goods and materials to the Project/program areas, facilitate entry and exit visas to AeA Staffs, volunteers, supports and arrange hotels and accommodations for them, arrange different venues for training, workshops, meetings for the work of AeA.

 All these responsibilities and arrangements should be done within the framework of finance and administration policies, procedures, manuals set by AeA and the country Office. He/she supports the finance and administration director in ensuring all AeA policies, procedures, donor regulations, accounting standards, and other local laws with regards to procurement and logistics. 

Specific responsibilities include:

  • Support the Finance and Administration Director, with functional relations to Programs and other functions at national and filed office levels;
  • Support the finance and administration director in developing periodic procurement plans as per the needs and requests coming from National and filed offices, and get approved from the Finance and administration director and respective functions managers;
  • Prepare a an item purchase plan to be carried out abroad and submit procurement plan to Finance and administration director;
  • Collect proforma, facilitate bid advertisement through media, etc for procurement of items and services (assess transportation service suppliers, companies), and submit to Finance and Administration director/delegate to be checked analyzed and approved;
  • Following the decisions by Finance and administration director or respective functions, support all procurement related to the project by mobilizing proper resources and professionals according to specific needs and purposes;
  • Support the finance and administration director to have thorough assessments on suppliers and prices and availabilities of materials and qualities of materials and prepare price list and dependable suppliers and qualities to be checked and approved by Finance and administration director;
  • Prepare and update constantly the selected/approved suppliers list; assess transportation service suppliers, companies, and provide information;
  • Following the approval from finance and admin director hire vehicles and mobilize them as per the schedule for field offices and national office, guests, visitors, etc;
  • Plan and deliver the transporting of Project items to the field offices and specific Project/needy areas,
  • Consult all functions and get the plans of visitors, volunteers, supporters and guests and abroad travel plans of the AeAE staffs and facilitate visas, air ticket purchasing, hotel and transportation arrangements;
  • Facilitate logistic preparation of meetings, workshops, trainings and other sessions that are planned in the project: arrange accommodations, venues, entertainment and other facilities requested;
  • Provide administration support, capacity building support to filled office finance and administration staffs to carry out small and medium level procurement of goods and services;
  • Get information on security and safety situations of project areas to protect the completeness, accuracy and integrity of goods and staff of AeA;
  • Carry out periodic procurement and other service provision reports to the Finance and administration director and respective functions (Monthly, quarterly, Biannually and annual);
  • Carry out other duties given from the finance and administration director, and from the Project Manager in charge of the Humanitarian intervention.

Other requirements and Offer terma:

  • Readiness to accommodate needs, demands, repeated asks, follow up and providing information to the respective to take quick actions;
  • Availability to travel to project implementation area;
  • Good behavior and attitude.
  • Immediate incorporation and full working day,
  • Fixed contract with probation period indicated in the law of Ethiopia.
  • Duty station: Addis Ababa with possibility of travel to different places to support program/project areas,

Job Requirements

Required Skills & Experience:

  • The incumbent should hold minimum Bachelor's Degree in Logistics, Business management, Marketing and supplies Management, accounting and financial management from recognized educational institutions/colleagues, universities
  • A minimum of 4 years of relevant work experiences in main stream procurement, facilities mobilization, coordination, and logistic in a wider and reputable institution/s preferably in the NGO sector;
  • Good expertise in procurement of goods and services, avail facilities, with proper planning and communications;
  • Knowledge on humanitarian procurement standards;
  • Knowledge on security and safety procedures and standards (mostly related to complex conflict);
  • Properly know the service providers, suppliers, users of the services;
  • Good in Management systems and processing requirements with Microsoft operating systems, Excel, and word, e-mail, internet, are necessary;
  • Value driven, ability to carry out complex tasks, work in team and independently;
  • Good recording, communication and writing skills.
