Job Description

Under the general supervision and guidance of the Managing Director, the Executive assistant acts as his intermediary with responsibility for the accomplishment of important delegated administrative details; responsible for Directs, coordinates, monitors and controls the overall operations of the company to ensure efficiency, quality, service, and cost-effective management of resources and assisting the Managing Director of the company in channeling management decisions for necessary action.

Duties and responsibilities

  • Develops strategic, medium and short term plans and budgets and submit for approval to the Executive committee.
  • Develops department strategic, medium and short term plans and budgets and submit for approval to the Managing Director
  • Ensures the approved plans are communicated, understood and implemented within the company;
  • Develop various policies that are appropriate to the purpose of the company (department) and ensures they are communicated ,understood, implemented and maintained within the organization;
  • Ensures relevant management and operational systems are developed and implemented and reviews their suitability, adequacy, and effectiveness
  • Ensures the needs of customers (both internal and external) are determined , their complaints and grievances are handled in order to enhance customer satisfaction and retain customers
  • Plan, develop, and implement strategies for generating resources and/or revenues for the company.
  • Answers and clarifies business inquiries of routine nature without consulting the Managing Director;
  • Regulates the smooth flow of information between the Office of the Managing Director of the company and other organizational Departmental & work units.
  • Keeps the Managing Director up-to-date on matters requiring his attention;
  • Ensuring the promotion of customer focus throughout the organization
  • Ensuring that the integrity of the quality management system is maintained when changes to the quality management system are planned and implemented.
  • Establishing and presiding meetings of management team, and or management committee.
  • Oversee overall company operations to ensure efficiency, quality, service, and cost-effective management of resources.
  • Ensuring the implementation of modern management system in the organization
  • Decide on implementation the financial investment plans for the company with the Managing Director approval.
  • Approve and execute company policies, operational procedures, standards, and processes to ensure efficiency, customer satisfaction, and effective controlling system.
  • Review activity reports and financial statements to determine progress and status in attaining objectives and revise objectives and plans in accordance with current conditions. 
  • Evaluate performance of functional/department and service unit managers for compliance with established policies and objectives of the company and contributions in attaining objectives.
  • Officially represent and liaison with organizations and clients for which the Company conducts work
  • Ensure conducive and productive work environment in the organization.
  • Ultimately responsible for hiring, promoting, demoting and terminating employees.
  • Introduce & develop best practices in the company to ensure better performance, services and customer satisfaction.
  • Ensures optimum human resource utilization.
  • Transmits messages, instructions etc. from the Managing Director to Department Managers & other related work units
  • Reports performances and other reports to the Managing Director.
  • Ensure the profitability and financial strength of the company.
  • Maintains confidentiality in all matters of verbal and written information;
  • Performs other related tasks given from the Managing Director

Employment Type: Permanent with 90 days of probation period

Working Conditions : Working conditions are normal for an office environment. 

Work Standards : Sets high personal standards of performance; not satisfied with average performance

Job Requirements

Education, Training and Experience:

  • Masters Degree in Business Administration, Operations Management, Engineering, Finance or equivalent and total 12 years of experience and out of which at least 5 years’ experience in executive assistant, Deputy General Manager post or BA degree in Management/Business Admin./Operation Management and 15 years’ experience and out of which at least 7 years’ experience in executive assistant, Deputy General Manager or related posts.

  • Experience in strategic planning and execution.
  • Knowledge of contracting, negotiating and change management.
  • Skill in examining and re-engineering operations and procedures.
  • Experience in formulating policy, and developing and implementing new strategies and procedures.
  • Ability to develop financial plans and manage resources.
  • Ability to analyze and interpret financial data.
  • Knowledge of communication and public relation techniques.
  • Ability to develop and deliver presentations.
  • Ability to identify and secure revenue sources.
  • Ability to motivate teams and simultaneously manage several projects. Professional written and verbal communication skill with good command of both Amharic and English,
  • Considerable knowledge of the company’s objectives, standing policies, procedures, rules, regulations and systems of operation,
  • Ability to establish and maintain effective working relationships with other Managers employees and the general public,
  • Ability to perform a variety of tasks, often changing assignments on short notice.
  • Maintaining the normal standards of ethics, conduct and organizational policies in job related activities.
