Grant Coordinator

ZOA’s programme in Ethiopia

ZOA works in several regions in Ethiopia: Gambella Regional State (field office in Gambella Town), Somali Regional State (field office in Dolo Ado and Melkadida refugee camp), Tigray Regional State (field office in Shire and Mekelle), Oromia Regional State (field office in Harar), Amhara and Addis Ababa. In Ethiopia, ZOA works with Internally Displaced People (IDPs), host populations, persons with disabilities, returnees, and a large population of refugees who fled a combination of violence and drought in Somalia, South Sudan and Eritrea.

Your challenge 

The Grant Coordinator will contribute to overall grants management at ZOA Ethiopia. The position will support work across all portfolios under the Grant Manager.

ESSENTIAL RESPONSIBILITIES AND DUTIES

Business development

  • Support in Fundraising, ensuring implementation of the fundraising and donor strategy;
  • Ensure ZOA staff is aware of the grant management cycle and their duties and responsibilities, and provide trainings / capacity building to staff where necessary;
  • Coordinate the development of an external relations and communications strategy and its implementation;
  • Support the Grant manager in the coordination of proposal development process, including input from sector specialists in Addis Country Office and from colleagues in headquarters, Netherlands.

Pre-award stage

  • Coordinate partner management, including conducting capacity assessments with local partners and setting up a capacity building plan;
  • Facilitate the process of LOU and MOU preparation and signature at Addis level;
  • Support with the contract preparations and negotiation process;
  • Communications with donors, consortium partners and implementing partners as necessary throughout the grant management cycle.

Post-award stage

  • Support the set-up of project kick-off meetings and follow up on necessary documentation, such as PASS, PIP documents and MEAL, procurement and recruitment plans;
  • Ensure the team is aware of all relevant programmatic donor compliance regulations and policies, including regular monitoring of implementation of the donor requirements;
  • Prepare and participate in the Grants performance review meetings with the grants finance team, ensuring follow-up of the programmatic recommendations;
  • Support the drafting and review of project progress reports and check alignment with donor guidelines, previous reporting and proposal documents;
  • Prepare and participate in project closing meetings, coordinate with the MEAL team to ensure lessons learned are properly documented and shared.

Job Requirements

QUALIFICATIONS & REQUIREMENTS

  • At least three years of professional experience working in INGOs will be considered an advantage;
  • Experience with humanitarian aid in-country;
  • BA Degree in International Relations, Development or related fields;
  • Advanced MS Office skills;
  • Fluent English, written and spoken;
  • Experience with donor proposal development, donor compliance and reporting is an advantage;
  • Good communicator with strong organizational, time management and analytical skills;
  • Excellent inter-personal, communications, and diplomatic skills;
  • Flexibility to adapt to changing requirements;
  • Self-driven, independent and motivated;
  • Diplomatic nature, excellent negotiation skills;
  • Willingness to travel to field programme offices as required.
