Job Description

Secretarial Tasks:

  • Supporting the team with general secretarial, human resources and logistics issues:
  • Acting as the first point of contact for visitors
  • Communication with partners, eg. preparation and filing of letters
  • Organise a filing system of the project documents
  • Establishing and updating an inventory of project assets
  • Keep track of leave requests of the team
  • Arranging travels and related logistics (flight tickets, hotels) of staff members
  • Support the logistical organisation of workshops and trainings
  • Supporting procurement of office equipment
  • Management of car park and coordination of driver schedules
  • Examine / keep track of drivers’ logbooks

Accountancy tasks:

  • Supporting the team leader with book keeping activities and assuring that all financial documents are maintained correctly, confidential and according to standards (GFA and KfW):
  • Supervision of expenditures
  • Monitoring the project bank accounts (bank statements, bank reconciliation)
  • Ensuring of bank payments
  • Management of cash box
  • Calculation and handing out of travel and other advances
  • Preparation of receipts and vouchers for the monthly closure of accounts
  • General organizational and accounting issues
  • Reception, control and accumulation with Addis office accounting of the regional GFA project sub-accounts
  • Preparation of the monthly statements for control and signature by the TL and send it with the receipts and vouchers to GFA HQ

Financial Management of project funds:

  • Supporting the Financial Management Officer as required with the following tasks:
  • Control of monthly statements of expenditure from the regions
  • Assistance to the financial experts in keeping and improving adequate documentation of expenditures, bank reconciliation statements and any other supporting documents to account for the amount advanced
  • Preparation of quarterly financial reports
  • Support to the team leader in preparing the Withdrawal Applications

Job Requirements

Required profile/qualification:

  • Bachelor's degree in accounting, financial management, business administration
  • At least 6 years of relevant work experience; ideally in similar donor-funded projects
  • Proficiency of MS-WORD and EXCEL
  • Good organizational and communication skills
  • Experience with financial management software such as SUN Systems is a big asset
  • Very good command of English and Amharic, verbally and written
