Job Description

The American Jewish Joint Distribution Committee (JDC) is an international non-governmental organization impacting millions of lives in more than 70 countries, leveraging over a century’s experience confronting poverty and crisis around the world. JDC began working in Ethiopia in 1983, and today works in three impact-driven development programs, which are based on priority needs in Ethiopia and on JDC's core competencies in the areas of health, agriculture and women's economic empowerment. JDC is looking for an Operations Coordinator to join our team of professionals in Ethiopia and would like to invite qualified and interested persons to apply.

The Operations Coordinator is responsible for the coordination and efficient operation of all projects within JDC. Responsible for all aspects of administration within the JDC Ethiopia office, including logistics, administrative procedures, security coordination, providing support for all programmatic aspects, and providing administrative support for the Country Director and the Director of Budget and Finance.

Key Responsibilities:

  • Provide operational and administrative support to all JDC Ethiopia programs, including logistics, communications, transportation, record-keeping and other support as needed.
  • Prepare materials for reports on JDC programs
  • Ensure that all programs are compliant with JDC Ethiopia and global regulations and procedures; ensure that all program staff have knowledge of, are familiar with and compliant with such regulations, policies and procedures
  • Coordinate security procedures for the JDC Ethiopia office; work with the JDC Global Security Team to ensure that all procedures regarding security are enacted and followed, including sharing information with Country Director/Director of Finance and Budget/JDC Global Security Team. Contact for all JDC Ethiopia staff on security matters.
  • Attend meetings as required by the Country Director and take notes/summaries as needed
  • Assist Country Director and/or program managers in the administration of employee recruitment processes in collaboration with JDC Global HR team.
  • Provide administrative support for employee training programs as needed
  • Additional support to Country Director in areas of organizational structure and development as needed
  • Provide support to finance team, including: reminders to program managers for information needed on a monthly or other basis; work on budget and implementation processes; provide support in
  • Liaison with various government offices to comply with regulations and processes. Ensure all documentations are kept in order and as per government regulations; prepare work permits as needed
  • Schedule staff meetings and other meetings or activities as required
  • Draft proposals and other documents as needed
  • Function as contact person for external evaluators
  • Provide administrative support for engagement of vendors
  • Additional duties as required

Job Requirements

Requirements and Qualifications:

  • Excellent computer skills, strong facility with Microsoft Office suite
  • Fluent English and Amharic, spoken and written
  • Team player, self-starter, multi-tasker
  • Excellent interpersonal and communication skills
  • Bachelor's degree
  • At least five years' experience in a similar role
  • Excellent organizational skills and attention to detail
  • Able to work in a dynamic, fluid environment
