Position Summary

The Receptionist is responsible for performing clerical tasks within an office setting to support daily operations of Kegna Beverages S.C. The duties include making /answering and transferring phone calls to employees, sorting and delivering mails, welcome guests or visitors and direct them to the appropriate office /person.  

Roles and Responsibilities: 

  • Receives and assists guests or visitors of the office courteously, answers queries, and provides information while being as polite as possible.
  • Greet and welcome guests or visitors as soon as they arrive at the office and direct them to the appropriate person and office
  • Ensure an attractive, pleasant, and neat reception or front desk area is maintained at all times.
  • Receive, screen and forward incoming phone calls to the relevant staff members.
  • Makes official phone calls on behalf of staff members.
  • Receive, sort and distribute daily mail and documents /deliveries
  • Regularly updates and maintains internal telephone contact list and share to internal users as updated.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Arranges appointments for staff and reminds the approaching appointments to the concerned staff.
  • Assist HR and Administration, Finance, Logistic and Procurement on document arrangement and other clerical receptionist duties.
  • Assists the HR team in scheduling interviews for internal and external candidates.
  • Assists in photocopying and binding of documents with at most attention to confidentiality.
  • Provide secretarial services to project and administrative staff when required.
  • Perform any other duties assigned by the Immediate Supervisor.
  • This list is not exhaustive and hence may be subject to revision based on the needs of the employer.

Job Requirements

Qualification and Experience Required

  • BA Degree or Diploma in Secretarial Science and Office Management (SSOM), Business Administration, Management, IT and any related fields.
  • 3 years for Degree holders and 5 years for Diploma related experience as Receptionist, Front Desk Executive, Admin Assistant, office administrator or related.
  • Professional attitude and appearance
  • Ability to handle confidential information with care.
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude and excellent in customer handling
  • Excellent written and verbal communication skills
  • Fluency in Afaan Oromoo Amharic and English is required.
