Senior Executive Assistant
Our client, a consultancy firm specializing in finance, investment, business intelligence, and private sector development advisory services is looking for a Senior Executive Assistant to join their team.
Your key responsibilities will be:
- Completes a broad variety of administrative tasks for the CEO including: managin calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas and compiling documents for travel-related meetings and take minutes during meetings.
- Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
- Communicates directly, and on behalf of the CEO, with top management, partners, donors, foundation staff, and others, on matters related to CEO's programmatic initiatives.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, and determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the CEO and internal departments;
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO
- Drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
- Prioritizes conflicting needs; handles matters expeditiously and proactively follows-through on projects to successful completion, often with deadline pressures.
- Drafts reports, letters of solicitation, and proposals; prepares and coordinates oral and written communication with partners and prospects.
- Communicates with the general staff on the CEO’s behalf and coordinates logistics with high level meetings both internally and externally.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
- Works with the strategic initiative team in coordinating the CEO's outreach activities and follows up on contacts made by the CEO and supports the cultivation of ongoing relationships with partners.
Job Requirements:
Experience & Education:
- Bachelor’s degree or equivalent experience with social sciences background and an interest in national and global issues
- 5-10 years providing support for upper-level management in a similar organization
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Skills & Abilities
- Ability to work with a broad range of people
- Previous experience working with development and fundraising programs to increase donor contributions and funding sources
- In-depth understanding of the entire MS Office suite and other web-based communication tools
- Ability to conduct research and present data in a brief and well-written manner
- Excellent communications skills (other languages and international customs is an asset)
- Outstanding organizational, time management, and problem-solving skills
- Flexibility – being able to be flexible with hours and accessibility
- Able to act independently, operating on accurate details and excellent judgment
- Ability to organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills and emotionally mature
- Professional level verbal and written communications skills
