Position Title: Administrative Assistant

Reports to: Lead, Programme Division

Desired qualities

Intrinsic Consultancy is looking for a competent Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to communication.

Responsibilities

  • Produce reports, presentations and briefs
  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Maintain diary, arrange meetings and appointments and provide reminders
  • Make travel arrangements
  • Track and facilitate payment transfers to service providers 
  • Ensure cleanliness of office via the service provider 
  • Take dictation and minutes and accurately enter data
  • Monitor office supplies and research advantageous deals or suppliers
  • Develop and carry out an efficient documentation and filing system
  • Managing office supplies stock and placing orders
  • Preparing regular financial and administrative reports
  • Administration of company databases
  • Manage and track petty cash
  • Create, send, and follow up on invoices
  • Assist with the collection fees from clients 
  • Tracking invoices and day to day expenditures 

Job Requirements

  • Proven experience as an Administrative Assistant, or in other secretarial position
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office
  • Proficiency in English and Amharic
  • Exemplary planning and time management skills
  • Up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Discretion and confidentiality

Strong collaborator: Communication skills, ability to work with a team are   key to the role for this person.

Strong capacity and self-drive: Self-starter and self-leadership are  key strength required for the role.

Work experience required 

  • Minimum of 3 years work experience and above.

 Qualification requirements

  •  First level university degree in social studies ONLY– Business administration, Management or related fields.
