Job Description

In Ethiopia, Plan has more than 25 years of experience in implementing its programme. Currently PIE mainly operates in seven geographical areas; Amhara, Oromia, SNNPR, Gambella, Benishangul Gumuz, Afar, and Addis Ababa City Administration on different projects funded by different donors including sponsorship.

Plan International Ethiopia's main purpose is to seek Gender Justice for Girls, Adolescent Girls, and Young Women. We aim to help create an enabling environment where girls, adolescent girls, and young women are safe, valued, equally cared for, and have equal opportunities. PIE will contribute to the global strategy by aiming to reach directly 2.1 million Girls, Adolescent Girls and Young Women over the period of the strategy 2020-2024 and to reach an additional 6.3 million beneficiaries through its interventions.

The position holder will be responsible to Document Review, Payment Preparation and Reporting. 

Accountabilities and MAIN WORK ACTIVITIES

Plan has a performance management and accountability matrix SOP. Every position holder is expected to adhere to the SOP and review and review her/his responsibility against the accountability matrix.

Payment Documents review (40%)

·      Review Local Travel advances requisitions

·      Review Project advances

·      Review Air Tickets payment

·      Review Vehicle Rental payments

·      Review DHL payments

·      Review Hotel & Related payments

·      Review Purchase & Work orders

·      Review Petty cash replenishments.

·      Review monthly staff outstanding advance and communicate to payroll team.

Payment Preparation (30%)

·      Prepare summery sheet by staff for income tax deductions and submit to finance assistant

·      Prepare summery sheet by staff for Pension contributions scheme and submits to finance assistant

·      Prepare summery sheet monthly by vendor for withholding tax and submit to finance assistant

·      Prepare summery sheet for stamp revenue and submit to finance assistant

·      Prepare cost sharing lists by staff and submit to finance assistant.

·      Prepare summery sheet by staff for Provident fund scheme and submit to finance assistant

·      Prepare summery sheet by staff for Saving and Loan repayments and submit to finance assistant

Monthly Reporting (30%)

·      Share & Prepare part of the quarterly and year end schedules/reports related to the area of the job assigned.

·      Prepare monthly external vendor’s reports with the form from ERCA and upload on-line to ERCA’s website

·      Prepare summary sheet for monthly payroll and post it within the time period.

·      Maintain register sheets with their specific type for prepayments & their subsequent monthly amortizations of Office, Warehouse, Expatriate Residential Rents, GPA Insurances, Medical Insurances, etc. 

·      Update Bank signatories and facilitate new bank account openings

·      Perform other activities by self-initiative and /or instructed by the supervisor.

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

·      Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.

·      Ensures that all staff in the unit/function/department are properly inducted on and understands their role in upholding Plan International’s safeguarding and GEI policies;

·      Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.

·      Ensures that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted

Job Requirements

Qualifications/ experience essential:

  • BA degree in Accounting
  • 3 to 5 years of relevant work experience (after graduation)
  • Directly relevant professional experience (e.g. payment processing) 
  • Sound analytical and problem-solving capability;
  • Ability to influence others’ behavior through effective relationship building; through current knowledge and understanding of relevant policies, frameworks etc.
  •  In-depth knowledge of project processes, procedures, and systems.
  •  May require ability to communicate technical concepts clearly to a non-technical audience.

Languages required

·      Fluency in English language is essential

·      Knowledge of Local Languages is a desirable
