The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified person to fill the position of Logistics Assistant (12 months fixed term contract) based in Addis Ababa.
GENERAL DUTIES
- Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
- Understands and adheres to the ICRC Code of Conduct
- Understands the roles of the components of the International Red Cross and Red Crescent Movement
- Respects and observes staff regulations and security rules at all times
- Represents the ICRC in a professional manner at all times
- Develops and maintains a pleasant and conducive working environment with colleagues and line managers
- Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
- May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary
ACCOUNTABILITIES AND RESPONSIBILITIES
- Provides support in accordance with logistics standards, ICRC rules, financial procedures and regulations. This may include some or all of the following activities:
- Meetings with internal and external customers and different offices for assigned general logistics activities. follow-up and statistical reporting using the JDE/IRIS application
- Import-export process of medical shipments, data entry to Ethiopian Food and Drug Authority (EFDA) online applications, follow up of pending medical shipments and applications of EFDA release for arrived medical shipments, filing and archiving of these documents.
- Timely and proper filing and archiving of documents while special attention to confidential documents if there is any.
- Performs logistics data collection, entry, analysis and reporting in collaboration with national pharmacist.
- Process import of veterinary medicines from concerned Veterinary drugs, and animal feed administration authority.
- Manage collection third party/Partners (MoH, EPSA and others) medical items to be ready for RED flights.
- Manage, data registration, and follow up of expired, damaged and unused medical items disposal based on the ICRC and EFDA procedures.
- Will process any export of veterinary vaccines to other delegations and travel to NVI at Bishoftu to facilitates the packing and loading of the vaccines.
- Manages the logistics information system (JDE/IRIS)
- Will cover any requested general logistics activities, filed mission/movement, replacing national pharmacist and other logistics staffs and related duties and responsibilities.
Scope and Impact:
- Assigned logistics assistant will be responsible for all general logistics operations in ET Addis Ababa delegation and all sub delegations if necessary and when required.
- Ensures that back up of electronic files are done on a regular basis.
- Issues report concerning logistics operations and activities.
Relationship
- Assigned logistics assistant internally, interacts with members of the local logistics team and logistics customers which are assistance departments and others. And should develop a good working relationship and addressing all the requests properly and professionally.
- Assigned logistics assistant, externally, interacts with service-providers namely EFDA, manufacturers, suppliers, transport companies etc. And low-level local authorities with the support of his/her direct supervisor when required.
ADDITIONAL DUTIES
- Follows up on all work-related messages and correspondence with the relevant contacts and departments
- Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position
- Collects and shares information so as to improve the ICRC’s understanding of the environment and humanitarian trends and responses
- Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image
- Takes responsibility for their own professional learning and development
Job Requirements
- University diploma or Degree in Pharmacy or related medical field.
- 2 years of experience on Pharmaceutical industry is preferable
- Working on import export of pharmaceuticals is an asset.
- Very good command (spoken and written) of English or the local working language.
- Computer literacy.
- Driving license (3rd grade)
