Job Description

1.      Proper Warehouse Management:

  • Monitor security of IRC’s storage and supplies.
  • Understand, implement and / or maintain standard IRC inventory management policies and procedures.
  • Ensure the maintenance of warehouse building(s), fittings and equipment.
  • Implement and ensure clear safety procedures of warehouse.
  • Advise the Supply Chain Manager and OIC of warehouse-specific issues or improvements.
  • Controls the overall operation of the storehouses

2.      Proper Warehouse Inventory and asset movement

  • Implement and ensure clear loading & unloading procedures, correct stacking, and turnover (FIFO) procedures.
  • Advise supervisor of potential inventory shortage.
  • Manage and document the receipt, handling, storage, release, and reporting of goods through the IRC warehouse(s).
  • Receive completed store’s request forms and prepare the goods for issuance.   
  • Ensure goods, equipment is signed for received on the request form (office expendables) or waybill (all other items).
  • Identify materials required for disposal and develop its own file.
  • Update the stock record cards and bin cards regularly.
  • Conduct routine inventory inspection and submit report to the Supply Chain Manager in a timely manner.
  • Maintain full and accurate inventory records.
  • Undertake (documented) monthly and ad-hoc physical inventory checks.
  • Provide on-time, standard monthly reports to the supply Chain Manager and Camp Manager.
  • Update all program staff closed grant items for timely utilization.
  • Ensures proper utilization of assets
  • Ensures proper completion of equipment issue before release of equipment from the warehouse
  • Handles maintenance of office equipment and office machines.

3.      Warehousing Record Keeping

  • Prepare a monthly report for the expendables store outlining all stock movements and remaining balances.
  • On a monthly basis, work with the Supply Chain manager and OIC to reconcile the Warehouse register in the Asset tracking sheet and equipment issuance forms
  • Ensures proper recording and labeling of assets
  • Ensures proper handing over of assets and equipment by the staff at point of departure
  • Ensures proper transfer and recording of equipment and office machines/computers and others/, furniture etc. from one person to the other
  • Makes record of obsolete/expired/damaged materials and equipment and reports to Supply Chain Manager and request disposal
  • Handles proper disposal of materials and equipment when getting approval for disposal
  • Prepares disposal reports immediately after approved disposal
  • File all disposed materials in a proper way.
  • Maintain the Warehouse activity book recording all outgoing and incoming receipts and activities.

4.      Perform operational activities and manage Staff under supervision (Driver &guards)

  • Plan and deploy vehicles for IRC activity in the camp.
  • Follow up maintenance of vehicles and supervise guards based in the camp.
  • Ensure safety and security of IRC compound.
  • Supervise and coach guards based in the camp.
  • Follow up time sheet submission of IRC staff under supervision.
  • Follow up maintenance of compound facility and office utility.
  • Address compound facility and office need as deemed necessary.
  • Facilitate all training needs at camp.

Job Requirements

  • Education: BA Degree/Diploma in Supply Chain Management, Accounting, Logistics Management, Business Management, or Supplies Management.
  • Work Experience: minimum relevant work experience of 3 years for Diploma holders and 1 year for BA Degree holders. 
  • NGO experience is plus

Required job competencies:

  • Knowledge of generic warehouse management systems and forms
  • Competent use of Microsoft applications especially spreadsheets (format / sort / filter).
  • Physically mobile, able to lift 30kg without strain.
  • Good mathematical skills.
  • Good interpersonal and problem-solving skills and flexibility.

·        Basic English spoken and writing.

·        Good communication and interpersonal skills.

  • Ability to multi-task & carry out responsibilities independently with minimal technical support. 
  • Able to rove easily up on work demand.
