Intern- Receptionist Position for Maternity Cover

Overall purpose of the role

The purpose of hiring Intern is to give support to operations team specially by handling front office and receptionist tasks since the current receptionist will be on maternity leave for the coming few months.

The Nature of the Work to be performed

The intern will be accountable for the following‌ ‌duties‌ ‌and‌ ‌responsibilities:‌ 

  • Provide a range of front office services such as answering and transferring telephone calls, placing phone calls as requested and take & relay information/messages and seek clarification where not clear.
  • Manage the correspondences (incoming and outgoing) and handle all secretarial work of the organization as requested by the Managers, Supervisors, and department offices.
  • Facilitate the air ticket purchase by fulfilling all the required documentation and approval.
  • Handling correspondence direct to managers.
  • Provide support in organizing events and meetings as requested.
  • Provide office support in the day-to-day office activities, taxi arrangement for FHF staff and visitors to ensure effectiveness of program work.
  • Performs‌ ‌other‌ ‌activities‌ ‌as‌ ‌assigned‌ ‌by‌ ‌the‌ ‌supervisor.‌ ‌

Additionally, the intern shall be willing to 

  • learn about FHFE’s work and how her/his contribution fits in.
  • Give a regular and reliable commitment of time.
  • Attend training, where special training is needed.
  • Observe confidentiality.
  • Declare any possible conflicts of interest.
  • Follow the systems, procedures, rules and regulations of the Organization.

Job Requirements

Qualifications Required

  • Minimum of Fresh Graduate in Bachelor of Degree in Management, Business Administration and ‌other‌ ‌equivalent fields.

Required Skills

  • Communication skills including fluency in written and spoken English.
  • High sense of integrity, ethics and confidentiality.
  • Strong analytical skills.
  • Good interpersonal skills.
  • Highly organized, detail-oriented and active listener.

Level of Effort Required: The Intern will work full time.

Essential Experience: O year experience but a knowledge of computers applications will be an added value.
