Job Summary:

Under the direct supervision of the Senior Logistics Officer, Logistics Officer (Fleet & Asset) is responsible for the efficient coordination and management of all transport, fleet and Asset Management functions for IMC’s Gambella Field Office. The position will also be responsible for the standardization of policies and good fleet & Asset management practices across all the field sites and will require regular travel to provide technical support to the field-based fleet & asset management staff works as per IMC policy and donor requirement with proper planning, coordination, organizing and provision of appropriate and high quality Logistics service on transport, fleet and asset management to the country office.

Job Responsibility 

  • Work with the Senior Logistics officer to design a suitably staffed and equipped transport function to support the IMC’s vehicle operations and policies.
  • Implement and direct IMC standard Vehicle policies and procedures, with particular attention to safety and security issues.
  • Manage and be accountable for the vehicle fleet, ordering and spare parts management of all vehicle related parts and consumables, including fuel.
  • Supervise and general management of vehicle spare part stores and garage
  • Focal person for all purchases in transport department. Raising PRs for vehicles and Generator spare parts and repairs.
  • Manage the vehicle pool.
  • Ensure that appropriate communications equipment is installed and functioning in IMC  vehicles to meet the operational and security requirements.
  • Ensure the correct and timely routine maintenance and repair of IMC vehicles and generators.
  • Inspect and record condition of vehicles, by maintaining weekly checklists file and ensuring that Vehicles log books are accurately filled
  • Ensure all vehicles are properly cleaned on daily basis.
  • Prepare weekly and monthly report on transport department and discuss with senior logistics officer.
  • Ensure Refueling & signing on vehicle fuel forms for Refueling and keeping accurate record and monitoring system on fuel consumption.
  • Work with the Senior Logistics officer to ensure that vehicles are prepared for routine and emergency security requirements.
  • Ensure that all vehicles are secure at the time of parking.
  • Collaborate with other managers and staff members in order to formulate and implement policies, procedures to meet the objective & goals of the department
  • Direct the activities of staff that repair and maintain the vehicles.
  • Establish quality transport and service for the organization.
  • Be familiar with local regulations / laws.
  • Perform other logistics and transport related jobs assigned by supervisor.
  • Ensure registration, inspection and labelling of new assets
  • Ensure asset register is up-to-date.
  • Periodic asset inspection and review.
  • Conduct periodic Asset disposal as per IMC procedures and donor requirements.
  • Manage asset inventory and tracking systems for all IMC assets in Addis office and provide support to other field offices as necessary.
  • Keeps track of all asset and equipment movements and updates asset and equipment registers
  • Prepare list of obsolete asset and items for management decision and carryout the disposal accordingly.
  • Ensure all assets and IMC properties are maintained to a good working order and appropriate standard.
  • Produces asset and equipment reports on a monthly basis 

Reporting

  • Monthly fuel usage report Fuel Amortization,
  • Vehicle & generator performance Maintenances and performance report
  • Vehicle contract tracking and Management, request and renewal of WO
  • Drivers leave and time Sheet.
  • Weekly vehicle check list
  • Monthly & Quarterly Asset update 

Expected Deliverables

  • Strict adherence to the IMC's vehicle policies and procedures, especially those pertaining to vehicle Security.

Job Requirements

Education:

  • BA Degree/ Diploma with Logistics, supply Chain Management, Accounting, Finance, Business Administration and any social Science fields ….
  • Must have good knowledge of both spoken and written English,
  • Good knowledge of Asset & Fleet management NGO experience is a plus.
  • INGO experience is a plus.

Experience:

  • 2 years for Degree and 4 years of experiences in Diploma respectively.
  • Professionalism, Honesty, Integrity
  • Knowledge of methods, techniques and procedures involved in Fleet management
  • Knowledge of the basics in Vehicle arrangement
  • Ability to accomplish tasks within a reasonable period of time
  • Basic ability to communicate in English.
  • Flexibility and willingness to work long hours if necessary
  • Attention to detail.
