SOS Children’s Villages Ethiopia is an International Non-governmental organization and a member of SOS Children’s Villages International Federation. The organization started its humanitarian work with the opening of its first Village in Mekelle, Northern part of Ethiopia in 1974. The organization has been providing life-saving provisions such as food, water and health services for a very significant number of children devastated by severe drought and the subsequent famine.

Today, we have grown significantly to meet the persistent challenges that confront Ethiopian children who have lost parental care and are at risk of losing their parental care. Working in close collaboration with international donors, local government and community based organizations across seven program locations; SOS Children’s Villages Ethiopia aspires that every child grows up with love, respect and security.

We are looking for a competent the Project Finance and Admin Officer is responsible to the project office administration and financial transactions to the project and tasks, prepares periodic financial statements and reports, and keeps the records of the accounts books up to date according to SOS Financial Manual & Procedure’s and involve in financial closings.

Your role....

As a Project Finance and Admin Officer, you will be in charge of the following:

  • Handling of tasks related to administrative issues of the project office such as Fleet management, annual leave management, office security and cleanliness.
  • Organizing properly record keeping of personnel data, property administration and Keeps systematically updated record of staff and documents of the project.
  • Keeping proper record of fixed assets and property.
  • Confirming copy of GRR, SIV & receipts are filed & custodian register is updated.
  • Preparing monthly fixed asset reports (Purchase report, Transfer report, Hand-over report
  • Store readmit reporting, Issued from store report and custodianship update report.)
  • Conducting the inventory counts of properties for the program annually & semi-annually
  • Coordinating provision of general services such as transport, custody and maintenance of properties and project purchases.
  • Working to ensure effective security systems in the project office by closely working with security guards.
  • Ensuring that the services such as electricity, water line, internet, and telephone lines are properly serving the project office and closely working with concerned stakeholders.
  • Supporting and giving guidance’s for administrative staffs under his/her supervision.
  • Coordinating staff development initiatives by assessing needs, conducting pre- and post-training assessments, writing training reports etc.
  • Reviewing payment requests for accuracy, completeness, compliance, level of authorization and clarity on the invoices.
  •  Reviewing disbursement requests for accuracy, documentation and validity; effect payment to the right vendor from the right project.
  •  Reviewing accounts on regular basis to ensure the balances are complete and accurate;
  •  Recording of all project office financial transactions into the SOS financial recording and meeting all submission dates and reporting requirements as required by the Programme Accountant.
  • Assuring accuracy of supporting documentation for accounting records;
  • Organizing and maintaining Accounting filling system;
  • Ensuring the timely settlement of advance payments and program location obligations (taxes, provident fund, Pension etc.)
  • Preparing and submitting monthly electronic and hard copy reports with supporting documentation to SOS children’s Villages programme office finance section.
  • Ensuring that all financial and accounting related files and records reflect high professional standards
  • Preparing payroll and arranges timely payment of salaries.
  • Following-up and controlling payable and receivable accounts.
  • Receiving original transaction documents, checks completeness and correctness and passes them to immediate supervisor.
  • Taking part in inventory taking and control of assets and stock items
  • Participating in the preparation of drafts financial statements.
  • Assisting the Location Finance Manager in the Implementation of the internal control system and financial procedures manual of the organization.
  • Providing finance related capacity-building support/activity to CBO’s and CCSC’s.
  • Performing other duties as assigned by the supervisor.

Child Safeguarding:

  • Taking part in awareness raising sessions and capacity building trainings in relation to Child Safeguarding to prevent and protect children and young people from all forms of abuse, abandonment, exploitation, violence and discrimination
  • Supporting children and young people to make them understand the CS risks and protection mechanisms 
  • Reporting any CS suspicion, concern, allegation or incident immediately, following Child Safeguarding reporting procedures. CS reports should be made to the CS team at programme level and/or to the respective line manager

The must haves

  •  Education: BA Degree in Accounting
  •  Training: Computer training
  •  Experience: 3 years’ relevant work experience
  • Excellent interpersonal, written and verbal communication skills 
  • Excellent inter-personal skills including sensitivity in cross cultural communications.
  • Ability to collate and analyze financial and other data in a clear and coherent manner
  • Ability to organize and manage one’s own work with ability to prioritize and work under pressure
  • Ability to work with children or vulnerable people in an appropriate and safe manner in accordance with the SOS CVE Child Protection Policy
  • Accounting software knowledge
