Employment and Private Sector Development (EPSD)

Several projects in the cluster “Employment and Private Sector Development” are pooling their administrative and financial services in one Admin & Finance team that aims to deliver more efficient and professional services. All projects in the cluster have recently moved into a new common office building and need support in the area of facility management. The projects in the cluster jointly aim at enhancing productivity and supporting the growth of a robust and profitable economy to create more employment opportunities for young people in Ethiopia.

 Duration of contract: July 01, 2022 – August 31, 2024

Job Requirements

Brief Description of the position

  • The junior Administration Assistant works to ensure that all the EPSD cluster office equipment like printers, scanners, and photocopiers are working properly.
  • He/she works to ensure all work related to the maintenance of buildings including plumbing, cleaning, gardening, generator, electricity, and telephone is working properly and ensures that there is a conducive working environment for staff.

Responsibilities and Tasks

  • Ensure all office equipment are working properly and do maintenance timely.
  • Maintains accurate records of all maintenance and repairs
  • Ensure printing paper and cartridge is ready for internal users in all printers and ensure the functionality of common printers, photocopier machines and solve problems timely.
  • Develops and manages the facility work order system
  • Provides a weekly status update on the process
  • Monitors service provision of out-sourced services such as maintenance of the equipment, cleaning, security guards, gardening etc.
  • Develops and maintains a relationship with all contractors and vendors ensuring efficient facility operations.
  • Ensure buildings and materials are kept safe
  • Monitor the day-to-day performance of security guards, and coffee ladies
  • Organize the installation, maintenance/reparation, monitoring, and traceability of equipment
  • Follow up the regular premises rent and utility payment
  • Ensure the security of the premises (locks, guards, guard schedules, etc
  • Any additional works assigned by the line manager

Required qualifications, competences and experience

Qualifications

  • BA Degree in Business-related field or Engineering with three years' relevant work experience.

Professional experience

  • 3+ years of experience in a similar position
  • Professional skill in the maintenance of office equipment like printers, photocopiers, scanners etc
  • Facilities Management experience is an asset
  • Ability to work with the team and establish strong working relationships with internal and external stakeholders
