Background:
LWF World Service Ethiopia is a registered foreign charity that has been operating in Ethiopia since 1973 implementing various development and humanitarian projects in different parts of Ethiopia. Its thematic areas include the promotion of food security and sustainable livelihood, sustainable natural resources management, emergency preparedness, response and rehabilitation, and capacity building.
LWF Ethiopia promotes gender equality and equal opportunities for women and men. As part of its commitment, LWF strives to ensure gender equity at the institutional level. Therefore, recently LWF ET established an internship program for female fresh graduates. The aim is to provide an opportunity for young female fresh graduates to exercise the most important duties of modern office management, administration, supervision, and personnel matters; it aims to produce office managers/administrators who can effectively and efficiently supervise services essential to the smooth running of the enterprise. Therefore, with this call for a female intern, LWF would like to receive a letter of interest and CV for exercising in Human Resource and Administration tasks. The detail of the call identified as follows
Key issues to be exercised during the internship:
Reception & Hospitality
- Welcome and direct all guests to the persons concerned;
- Check and follow up on the service and availability of tea, coffee, water, and glasses for staff and visitors at the reception;
- Maintain up-to-date telephone directory of the organization;
HR Issues
- Involve in the recruitment process and ensure a timely organized and comprehensive procedure is used to hire staff;
- Maintains staff personal files (which should include all the required documents as per the staff file checklist).
- Follow up and ensure that all staff files are with updated and signed JDs, and also staff performance appraisals are done in a timely manner.
- Verify original documents of candidates that accepted the offer and issue employment letter;
- Make sure the employee profile information is properly filled;
- Make sure Safeguarding and Security training is undertaken,
- Ensures that all newly hired staffs’ Inductions’ is scheduled and conducted with the relevant department.
- Assist in composing forensic letters for newly hired employees.
- Follow up insurance inclusion and cancelation of employees,
- Assist in composing correspondences, memos, etc. for review and approval;
- Assist in maintaining files of correspondences and other records;
- Assist in locating and extracting information and materials from files;
- Assist the HR and Admin Unit in handling dead personnel files;
- Handle all outgoing correspondence and ensure its timely dispatch;
- Maintain a registration book for all incoming correspondence and publications, sign for them, file-code them, and distribute them to the concerned;
- Maintain a registration book for all outgoing correspondences and file-code them;
- Assist in document preparation, typing, printing, copying, binding, compiling, and dispatching;
- Keeps Employee Data confidential and handles reports securely in accordance with HR policy.
- Performs additional HR/Admin tasks as assigned by my supervisors.
Admin Task
- Maintains office supplies and ensures proper usage;
- Make sure that monthly utility bills such as electricity and water, internet service, and telephone bills for both fixed and mobiles are settled on time.
- Ensure that the telephone lines are working properly and follow up the timely maintenance of same when they are out of order;
- Check and follow up on the timely maintenance and proper use of fixed phones, extension lines, and commonly used office machines – photocopies, fax, printers, etc.;
- Complete payment formats for daily laborers worked for the office and Gardner’s payment;
Terms of engagement of the internship: till 31 December 2022
Provision: Transport allowance will be provided/per month

- Good communication skills both verbal and written
- Open minded with strong knowledge and skills in computer application programs
- Open minded for the ability to work independently
- Good interpersonal skills and ability to work successfully in a team environment
Requirements:
- Graduate with Diploma or Bachelor’s Degree in Management, Business Administration, Secretarial Science, Office Management, and other related fields graduated in the year 2020 or above from a recognized College/University
