Action Against Hunger-USA is a global humanitarian organization that takes decisive action against the causes and effects of hunger. We save the lives of malnourished children and we enable entire communities to be free from hunger. With more than 8,000 staff in over 50 countries, our programs reached 17 million people in 2019.  

About the Country Program in Ethiopia  

Action Against Hunger has been operational in Ethiopia since 1984 responding to both chronic and acute needs through a multi-sectoral strategy where Nutrition, Food Security and Livelihoods, WASH, and Mental Health and Psychosocial Support activities are integrated to have a meaningful impact on people’s resilience.  

Action Against Hunger currently operates in 5 different regions (Oromia, Somali, Amhara, Benishangul Gumuz and Gambella) with a portfolio of 20m USD/year of emergency, resilience building, research and innovation programs. We have a country team of around 600 staff in 17 regional and satellite offices. Our main donors in Ethiopia in 2020/2021 are: BHA, ECHO, Europaid, UNHCR, UNICEF, GFFO, BPRM, SIDA, EHF, WFP, CIAA and others.  

I.                   Summary of position

Ensure the management of the sites’ stock, write the stock reports, and supervise movements and other logistic activities.

The Assistant Base Logistician Role’s purpose, engagement, and delivery are:

  • Purpose (The substantive focus of the job encompassing scope, depth, and difficulty of work both conceptual and applied)

Objective 1: Ensure management of the sites’ stock :

Activities:

  • Guarantee that the procedures and instructions of stock management are followed;
  • Ensure follow-up of stocks and pay particular attention to use-by dates of food items;
  • Follow the release of items and materials from the store
  • Draw up a weekly and monthly inventory and write an inventory report;
  • Keep all documents related to stock management up to date.
  • Complete the various dispatch documents;
  • Supervise preparation and charging of products and equipment
  • Examine the deliveries: quality, quantity, documentation, etc.
  • Check the sanitary conditions of the products entering and report any problem with the quality

Objective 2: Ensure that the stores are hygienic and clean:

Activities:

  • Check daily that the store is clean and is regularly disinfected and ventilated;
  • Check the temperature and humidity of the store;
  • Check the sanitary conditions of new products (absence of parasites);
  • Inform the Log Manager if there is a need to remove the infested food items.
  • Follow the WFP guidelines for all food items (with indication and delegation from the Log Manager)

Engagement: (The focus of interaction both internally and externally needed to deliver a service seek collaboration and build effective partnerships)

Objective 4: Internal/External communication

Activities:

  • Ensure clear communication between AAH staff, AAH incentives for food items delivery on daily basis;
  • Ensure good communication with external partners such as ARRA, WFP, UNHCR about stock and reports, field visits, and monitoring visits;
  • Ensure good communication with the teams and other national and international NGOs.

Delivery: (The focus on the execution of the work and the role on the team for supporting business/operational functions in terms of timeliness and quality)

Objective 3: Assist in carrying out some logistics activities

Activities:

  • Inform the base logistician of any problem concerning the sites, utility facilities, and equipment;
  • Report the repair needs to the Log Manager
  • Ensure that the repairs are properly done (materials replaced…) in line with the Construction Supervisor before payments are effected to the technicians
  • Ensure follow-up of the fleet on-site (if the need for repairs, maintenance, movements) of AAH and rental vehicles assigned into Waghimra 
  • Collect weekly movement plan
  • Ensure the treatment of waste: regroup and incinerate or organize the removal of waste as per the camp rules
  • Follow the consumption of generator for the Stabilization Center and filling the follow-up form
  • Complete various dispatch documents
  • Supervise loading/offloading of materials and that daily laborer are paid in a timely manner with proper forms
  • Ensure that the equipment is used properly
  • Prepare the monthly reports
  • Ensure visibility of AAH and donors on/in the sites
  • Support in other areas as recommended by Log Manager

  • While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within short time frames under stressful situations in the context of a moderately noisy office with many interruptions. Must be able to proofread own work accurately so that only minor corrections are needed on an infrequent basis.

VI.             Working Conditions, Travel, and Environment

The duties of the job require regular job attendance at least five days per week. Must be available to work outside normal office hours or on the weekends as required.

Must be able to travel as required for standard domestic and international business purposes. While performing the duties of this job in the field, the employee may be exposed to precarious settings under high-security risks and/or very basic living conditions and outside weather conditions, as well as to infectious diseases. 

Job Requirements

Required Qualifications and Professional Experience

  • Diploma and above in Management, Supply management, Logistics Management, Economics or other related fields of study
  • Minimum of two years relevant experience in stock management, supply chain management, logistics management, planning, and other related topics.
  • Very good understanding of the local culture and local language is essential

Required Skills & Competencies

  • Basic computer skills (Microsoft office word, excel, etc.)
  • Good command of arithmetic concepts;
  • High level of interpersonal communication skills
  • Good data handling skills
  • Good command of English Language
