Job Summary
Under the direct supervision of the General Manager of Ruby Company, the job holder is responsible for providing overall the finance and administration department including office, human, and material resources management.
Main Duties and Responsibilities
Finance duties
Design, develop and update financial, procurement, and administrative policies and procedures of the company
organize the preparation, approval, and execution of the budget and ensure adequate budget control Practices
Develop and maintain sound reporting systems to facilitate effective financial management and strong internal control mechanisms
Coordinate annual audit and follow-up on recommendations and action points raised by auditors
Ensure an effective internal control system is maintained and adheres to statutory and fiscal requirements
Record, analyze, and report accounts accurately in accordance with rules and procedures
Analyze financial and operating data and prepare management reports, periodic and annual financial statements of the company
Timely approve requests for cash and cheque payments which meet the criteria for the same ensuring that all expenses are accurately coded
Carry out day-to-day company accounts, pity cash orders, and other foreign exchange accounts update and transactions
Administrative duties
Oversee the recruitment of staff for Ruby company
Ensure that all office services are well arranged and organized for the efficiency and effectiveness of the company objectives on a regular basis.
Liaise with other departments heads in the preparation of the Annual Plan and Budget (APB)
Undertake procurements
Develop a list of approved suppliers for the office
Ensure that there is an adequate and conducive office environment for all staff (furniture, security and safety, equipment and supplies)
Ensure the safe custody and security of all company assets including vital records (purchase Contracts, proof of ownership documents, after-sale service contracts etc)
Develop a fixed asset register, filling and archiving system, is maintained
Liaison with government and non-government offices in relation to the company’s administrative issues
Plan, Initiate and supervise the proper functioning of outsourced service contracts
Assist in resource identification, work assignment, performance evaluation, and promotion decision activities.
Plan, facilitate, and approve the vehicle arrangement, repair, and parking system for all company vehicles
Supervise the proper functioning of premises electric, internet, and water system
Closely supervise
Manage all support staff activities such as janitor, guards, office host, drivers etc.
Represent the General Manager of the company in dealing of other finance and administrative duties when he/she is assigned or delegated

Employment Nature- Permanent after the prohibition period.
Job Requirements
QUALIFICATIONS
A BA degree in commerce, accounting, finance or business administration from a recognized institution with at least 4 years of relevant experience in business companies will be considered
Those with professional training in Administration and Human Resource Management will have an added advantage
A prior experience of managing large resources
SKILLS
The ability to remain highly organized while handling multiple tasks under tight deadlines
Ability to complete tasks with limited supervision
Business awareness and numerical ability
Must possess solid communication and presentation skills
Relevant skills in automated accounting software systems and database spreadsheets
computer proficiency in the standard packages (word processing, e-mail and internet use)
Willingness to adhere to all principles of confidentiality
Must value operating in a collaborative and cooperative environment
Ability to show initiative, good judgment, and resourcefulness
Conduct himself/herself with integrity and function ethically
Ability to manage staff and work with senior management
