Job Summary

The Executive Secretary will provide high-level administrative support to General Manager and other senior staff. Responsible for supporting the management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors to the management, routing callers, and answering questions and requests.

Duties and Responsibilities:

  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Receives incoming communication or memos on behalf of manager, and senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • reporting (content and format as agreed) on a monthly basis or as otherwise required assist in developing plans for team activities to include strategy to achieve agreed targets
  • Provides high-level administrative support and assistance to the General Manager and/or other assigned leadership staff.
  • Arranges travel and accommodations for manager.
  • Schedules and attends meetings on behalf of General Manager, taking notes and recording minutes.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
  • Supervise office cleanings and facility maintenance
  • Prepare statistical reports. And Manage spreadsheets.
  • Performs other related duties as assigned. 

Required Number- 01

Employment Nature- Permanent after the prohibition period.

Job Requirements

Education and Experience:

  • BA Degree or High school diploma required in Business Administration, office management, secretary science, IT or related field preferred.
  • At least four years of related experience required.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 40 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times
