Title: Procurement Officer (CO)
I. Job Summary
The purpose of Procurement Officer position is to facilitate and execute efficient, smooth and cost-effective procurement activities of the central office and regional offices and Amref Health Africa procurement policy. Check qualities of goods purchased and submit the items to the storekeeper and inform his/her immediate supervisor.
II. Key Responsibilities
§ Receives and prioritizes purchase orders initiated by different individuals or departments for planning;
§ Ensures and advices specifications are properly filled for goods and services requested;
§ Collects quotations based on approved purchase request and specifications from listed vendors and submits to standing procurement committee for review and approval;
§ Prepares quotations analysis matrixes for approved procurements and get it signed by the standing committee;
§ Prepares purchase orders to suppliers/service providers;
§ Executes purchase of materials and services ensuring cost efficient purchase after receiving approved purchase requisitions based on the request of various units of the organization.
§ ensures that purchases are made in the best interests of Amref Health Africa procurement manual;
§ Makes sure that the materials and services purchased meet the required standard and as per the specification given & facilitates delivery of the materials on time;
§ Prepares periodical procurement status report and submits to the immediate supervisor;
§ Regularly up dates the supervisor of all partial collection of the procured goods
Provides support to regional offices with regard to procurement of materials and services;
§ Creates and maintains proper and complete procurement files such as purchase request, quotations, goods receiving notes, delivery invoices etc;
§ Assists in the development and maintenance of vendor’s list;
§ Undertakes any other activities as requested by the Procurement Manager.
§ BA degree in purchasing and supplies management or business Administration
§ At least five years working experience in purchasing and supplies management.
§ Demonstrated skill in multitasking, meeting deadlines and working under tight schedules
§ Ability to interact and deal with people patiently and politely
§ Understanding on Procurement Rules and Regulations
§ Excellent planning, coordinating, and facilitation skills
§ Excellent communication skills;
§ Very good computer skills;
§ Good knowledge of written and spoken English;
