The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated, and qualified person to fill:
PURPOSE
The Receptionist welcomes visitors and beneficiaries. S/he works the switchboard where required and manages some administrative tasks.
RELATIONSHIPS
Internally, interacts with all staff members.
Externally, interacts with representatives, high-level management, commercial providers and beneficiaries.
GENERAL DUTIES
Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
Understands and adheres to the ICRC Code of Conduct
Understands the roles of the components of the International Red Cross and Red Crescent Movement
Respects and observes staff regulations and security rules at all times
Represents the ICRC in a professional manner at all times
Develops and maintains a pleasant and conducive working environment with colleagues and line managers
Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary
ACCOUNTABILITIES AND RESPONSIBILITIES
Reception
Welcomes visitors, provides them with basic information and directs them to the appropriate staff member.
Maintains visitors’ log book – recording all relevant information and distributing/collecting “visitors’ badge”.
Manages the visitors’ badge inventory.
Switchboard/Skype for Business
Answers and redirects incoming calls.
Takes messages and transmits telephone messages to concerned colleagues.
Ensures lines are functioning properly at all time. Coordinates with ICT and IM team when problems occur.
Secretarial duties
Keeps the relevant phone/contact lists of the delegation up to date, with the support of the IM Admin Assistant and ADD ICT.
Registers and updates the Contact database for the HoD’s interlocutors.
Receives, scans and uploads all the incoming correspondence addressed to the delegation on the ADD Team Space (chrono in) and dispatches the original documents to the concerned unit.
Registers all the outgoing correspondence on an Excel table and coordinates with the car dispatch for transmission of the correspondence to different ministries, embassies and other entities.
Prepares, sends and receives the pouch from the sub-sites as well as from-to Geneva (and other sites) as requested and follows up with the receipt confirmation messages.
Manages the orders of the business cards of the Delegation staff members.
Assists the IM team in running regular inventories for the department stationaries.
ADDITIONAL DUTIES
Follows up on all work-related messages and correspondence with the relevant contacts and departments
Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position.
Collects and shares information to improve the ICRC’s understanding of the environment and humanitarian trends and responses.
Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image.
Takes responsibility for their own professional learning and development.
