Job summary

Under the supervision of the Care and Support Supervisor, the Data Clerk will be responsible to collect paper-based data form from social service workers and case workers, verify, enter and clean the data in USAID unified data/CommCare application and keep the files and hard copy data for verification. She/He is responsible to conduct data quality assessment on a regular basis. She/he is also responsible to document all the hard copy document after encoding into the CommCare. She/he will be also responsible for the collection of strategic information, analysis, and dissemination for evidence-based data use and decision-making from implementing partners in the catchment area.

Job responsibilities 

• Collaborates with the ISHDO sub team to achieve project objectives and strategies, to deliver targets of the project;

• Support the M&E activities in data quality assurance and site level in collaboration with Performance monitoring plan of the project in close collaboration with program team;

• Collecting data on timely manner from social service workers, community engagement facilitators, care and support officers, ES animators;

• Transfer data from paper formats into computer files or database systems using CommCare app

• Verifying and entering data on timely manner in UDS and maintaining accurate records of valuable beneficiary and organizational information

• Verify data by comparing it to source documents

• Sort and organize paperwork after entering data to ensure it is not lost

• Conduct data verification and cleaning using data source and encoded in system as needed

• Conduct data analysis and reporting on regular bases and whenever required

• Follow all source data are documented in a proper manner

• Review the paper-based record in preparation to data entry into CommCare

• Accurately enter data into corresponding fields into CommCare software

• Identify and correct data entry errors using appropriate quality control methods

• Perform regular backups to ensure data preservation

• Perform related tasks like ordering office supplies and filing documents

• Manage and organize records, documents and files in an organized manner

• Submitting data base report on monthly bases

• Prepare relevant reports as needed

• Perform other related activities as assigned by supervisors

Job Requirements

Required education and experiences

• Minimum of Diploma in computer science, IT, ICT, Data administration, data base management and related field of study;

• 2 to 4 years' experience as data clerk in USAID funded activities or data base management (entry and analysis)

• Demonstrated knowledge of PEPFAR USAID / Data base management and data encoding is highly desirable.

• Familiarity with CommCare software application and Skills and experience in monitoring, recording keeping, and reporting of the HIV prevention, care and treatment programs using the USAID web-based data base system CommCare etc

• Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, Power Point, Web Conferencing etc.)

• Basic (spoken and written) skills in English, Amharic and Afan Oromo is a requirement

• Able to work independently to meet project targets

Personal skills 

• Good interpersonal communication skills and positive professional attitude

• Ability and great interest to work in team and be good team player.

• Fast typing skills; Knowledge of touch-typing system is strongly preferred

• Working knowledge of office equipment and computer hardware and peripheral devices
