Job Overview:

Job Position:        

1.Secretary (GSO)

Duties:

  • Serves as a principal secretary to the Supervisory General Service, three General Services Officers and back-up to the Management Counselor’s secretary; provides general secretarial and clerical assistance to the GSO office staff. Serves as primary contact for the individuals visiting the Management/General Services Office.

  • Drafts and types letters, and memoranda; maintains files; receives and distributes all incoming correspondence for the entire section. As a back-up to the Management Counselor’s secretary, provide general secretarial duties as needed. Controls the management conference rooms, and reserves meetings, training, and events on the Management calendar for the entire Embassy staff. Schedules appointments according to the supervisor’s calendar, reminding the supervisor for his meetings and appointments.

  • Prepares and sends all outgoing and inter-office communication; answers telephones, screening calls, providing information when possible, and passing calls to appropriate staff members; takes messages. Provides a variety of relevant information for all Embassy’s locally employed staff.

  • Maintains and replenishes section office supplies. Takes initial action to request repair services for section equipment (copier, fax, phones, computers, etc.). Receives incoming GSO procurement requests and submits them in the Ariba system.

  • Serves as a primary point of contact for Issuing and replacing Parking permits to the Locally Employed Staff. Maintain database for all GOV’s, POV’s and parking pass permitted LE employees and make sure that all the registration and insurance documentation is complete.

  • Controls the management conference rooms, and reserves meetings, training, and events on the Management calendar for the entire Embassy staff. Schedules appointments according to the supervisor’s calendar, reminding the supervisor for his meetings and appointments.

Job Requirement:    

Qualification:

Education: 

  • Completion of High School is required.

  • Level 4 (Fluent) Speaking/Reading/Writing Amharic is required. (This may be tested)

  • Level 4 (Fluent) Speaking/Reading/Writing English is required. (This may be tested)

Experience:

  • A minimum of (2) two years working in an office environment with full range of secretarial duties or customer service responsibilities is required.
