The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified person to fill the position of Housekeeper supervisor (12 months fixed term contract) based in Addis Ababa.
GENERAL DUTIES
Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
Understands and adheres to the ICRC Code of Conduct
Understands the roles of the components of the International Red Cross and Red Crescent Movement
Respects and observes staff regulations and security rules at all times
Represents the ICRC in a professional manner at all times
Develops and maintains a pleasant and conducive working environment with colleagues and line managers
Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary
ACCOUNTABILITIES AND RESPONSIBILITIES
Planning and Supervision
Plans regular visits to ICRC premises at different locations and inspects house-keeping performance according to standard checklist.
Provides premises inspection reports with action plan to address the issues and creates maintenance requests.
Ensures sufficient provision and efficient use of equipment, materials, and supplies for Domestic Staff and Cleaners.
Ensures sufficient provision and efficient use of refreshment and cleaning material at ADD and ADO delegations.
Provides quarterly statistic data report of refreshment and cleaning material use in ADD and ADO delegations with the provided templates.
Up on requests, does a follow up of kitchen appliance together with the housekeeper.
Plans the Weekly/Monthly schedule of house keepers and cleaners.
Update, record and follow-up refreshment items
Creates and sends housekeeping related SRs in complying with OSCAR procedures.
Coordinates meeting events, catering event for internal user according to the need of the user.
Arranges break fast for new arrivals as per the standard.
Participates in the revision of housekeeping work procedures to meet service needs as necessary.
Ensures compliance of rules and procedures in implementing of house-keeping and domestic staff policy.
Participates in conflict management.
Participates in selection and recruitment of domestic staff and cleaners.
Training of Domestic Staff
Identifies Domestic staff development and training needs and ensures that training is obtained.
Conducts planned and regular on the job trainings on standard procedures of housekeeping, hygiene, sanitation, home set up, washing formulas, safety practices, use of equipment and supplies, and work regulations and techniques.
Provides orientation and training to new Domestic staff.
Upon the request from sub-delegation, conduct training for housekeepers, participating on hiring of new housekeeper and reporting the work.
Team Building
Maintains very good relation with all domestic staffs and cleaners.
Ensures the information flow between the unit and all domestic staff.
Schedules and facilitates regular meetings with all domestic staff to discuss common issues and share valuable experiences.
Responds to residents’ concerns regarding general cleanliness and housekeeping.
Stocks & Inventories
Ensures sufficient provision and efficient use of equipment, materials, and supplies for Domestic Staff.
Manages the orders and the stock of cleaning materials as well as coffee break items and follows-up on consumption.
Performing annual inventory of kitchen items and other furniture of the residences.
Support to maintenance team
Reports any maintenance problem in the delegation premises to the maintenance team
Liaises as intermediary with housekeepers in residences to report problems to maintenance team
Sends corresponding maintenance requests to ADD Premises Services and ensures necessary approvals
Reporting
Maintains records, prepares reports, and composes correspondence relative to the work.
Submits weekly / monthly reports to the Deputy Premises Manager on his / her activity.
Proposes for quality improvement of domestic services delivery at premises.
PEOPLE MANAGEMENT RESPONSIBILITIES
Understands and supervises the Performance Management & Development (PMD) activities for employees under their supervision
Makes sure that deadlines for the PMD cycle are met
Engages in ongoing and continuous feedback and support, particularly for employees under their supervision, but also other staff members
Organizes regular meetings within their team to ensure optimal coordination of the work and proper flow of information
Ensures that job descriptions for employees under their supervision are up to date; seeks feedback and support from the HR Department if needed
Plans and coordinates the annual leave of the employees under their supervision ensuring continuity of the operations throughout the year and making sure that there are no outstanding holiday balances at the end of the year
Coordinates and supports the employees under their supervision in their personal development by coaching and advising them on internal and external training and development possibilities
ADDITIONAL DUTIES
Follows up on all work-related messages and correspondence with the relevant contacts and departments
Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position
Collects and shares information so as to improve the ICRC’s understanding of the environment and humanitarian trends and responses
Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image
Takes responsibility for their own professional learning and development
Minimum required knowledge & experience:
Diploma / Degree at Hotel Management or related field
4 years work experience in a similar function
Very good commands of written & spoken English
Very good Computer literacy (Word, excel and others), mandatory
Team-management experience
Driving license (3rd grade) and should be able to pass ICRC internal driving test.
