JOB TITLE: Human Resources Officer

REPORTS TO: Human Resources Manager

REPORTING TO POSTHOLDER: N/A

LOCATION: Addis Ababa with frequent travel to field

SALARY: GBP 783 (Seven Hundred Eighty Three Pound Sterling)

DURATION & HOURS: Permanent with 60 workdays probationary periodPURPOSE OF THE ROLE

HR officer position is held in the Corporate Services department and reports to HR manager being responsible for the recruitment, selection, HR database, contracts, and staff separation. In collaboration with the HR Manager, the recruitment and staff contract. The position holder is also responsible for employee training and development as well as HR policy induction as directed by the HR Manager.KEY TASKS AND RESPONSIBILITIES

 

1.     Recruitment

  • Receive requirements regarding promotion, transfer, temporary duty assignment from departments and HR Manager;

  • Communicate with the hiring manager and make sure all necessary information is captured in the job description as per Farm Africa JD templet;

  • Oversee and ensure the existence of effective vacancy announcements and staff recruitment systems.

  • Ensure that hiring managers are periodically updated on the status of staffing requests.

  • Conduct longlisting when application submitted

  • post the vacancy announcements, and ensure shortlisting are made in consultation with the hiring managers activities;

  • Coordinate arrangement of written tests, interview, and other selection processes and maintains proper documentation of the selection process

  • ensures that all employment contracts are managed as per Farm Africa’s standing policies and procedures;

  • Prepare job offers to successful candidates and reference check;

  • Prepare reports on recruitment and vacancy rates;

2.     Induction and Orientation

  • Provide HR induction to the newly hired staff and ensure required department inductions are conducted as per the recruitment procedure

  • Facilitate annual policy refreshment program;

  • Refer employee’s data/personal file and collect required information/data of newly hired;

3.     Staff database

  • Ensures and maintains up-to-date human resources records of Farm Africa Ethiopia Office;

  • Manage records of employees by preparing folders, labeling personnel files, and filing information in designated areas.

  • Maintain and record every new employment, transfer, promotion, salary adjustment, salary scale revision, resign, terminated activities

  • Oversee and follow up on proper filing of all communication, correspondence, and other documents;

  • Prepare a checklist and review the employee record in light of the checklist and take appropriate measures in case of incompleteness.

  • Send to HR Manager on 18th of every month updated staff information for the salary of each month;

  • Update newly hired staff information and change of existing employee

  • Ensure employee leave records are compiled and administered well (annual leave, sick leave, maternity leave …) 

  • Ensure insurance-related information is up to date

4.     Staff Contract

  • Make sure all employee has an active contract

  • Send appropriate reminder to employment contract ending soon

  • Prepare contract letter, employment, promotion, contract extension, termination notice, and other letters as directed from HR manager and ensure signed off by Farm Africa representative and employee

5.     Performance Management

  • Send out a reminder for annual and midterm performance appraisal together with the necessary formats;

  • Ensure that employees have up-to-date job descriptions and performance plans kept in the file.

  • Update performance appraisal tracker and share to HR manager on regular bases;

6.     Staff separation

  • Sent termination notice on time as per the HR manual and as advised by HR Manager

  • Conduct exit interview 

  • Ensure the separated employee has completed clearance on time 

  • Ensure the separated employee has got terminal benefit within 2 business days effective from resignation/termination date

Must have a sound work ethic, excellent communication skills and work well both independently or as members of a team.

Have good spoken and written communication skills;

Excellent written and spoken English language skills;

Ability to exercise considerable judgment and discretion in dealing with matters of significance for the company
