Children Believe Fund (CBF) is a child-centered, community-based international development organization devoted to addressing the needs of children, their families and communities by implementing programs that focus on education, early childhood development, child protection, health & nutrition, WASH, sustainable livelihood development, disaster risk reduction and gender equality in different parts of Ethiopia. Currently Children Believe Fund wants to hire one Administration Assistant for the project titled” Improving Play-based quality education and protection services for children affected by conflict in Kobo Ketema and Gidan Woreda, North Wollo, Amhara region.
Job Responsibilities:
The Admin Assistant is responsible for assisting Project Accountant with accounting processes such as accounts payable, travel requests, office supplies and stationery, general ledger, audits, monthly closings; and entering, updating and running reports using prescribed accounting software, etc., to achieve required results. The Admin Assistant also responsible for assisting the Project Coordinator with human and material resource management of project field Office including facilitating procurement and general services including transport or logistic arrangements and staff security and assist in handling administrative matters.
Key responsibilities include but not limited to:
Assist Project Accountant in recording all transactions accurately and ensuring that there are adequate supporting documents and that all transactions comply with CBF and donor’s requirements.
Processing payments and documents such as invoices, bills, journal vouchers, purchase orders, accounts payable, etc.
Hosting visitors to the Project Field Office, arranging meeting venue, and receiving incoming call at the reception desk.
With support from the Senior Administrative Assistant, verify items billed against items ordered and received and reconcile differences through follow-up with the vendor and/or other employees.
Handling petty cash, updating and reconciling the petty cash register/books daily.
Maintaining a cheque register and ensuring that vendors or service providers acknowledge receipts for all payments made.
Reviewing employee travel and other advance requests, purchase requests and advise on budget availability and timing, assign budget codes to requests for recommendation by Project Accountant
Processing and follow up on employee advances, prepare reconciliation of employee accounts receivables on monthly basis.
Receive cash refunds by staff and supervising deposit into project bank Accounts.
Assist entering, updating, and/or retrieving accounting data and transactions from the QuickBooks Accounting software
Assist posting financial transactions and data to appropriate accounts in the QuickBooks accounting software.
Assisting Project Accountant with staff payroll computations
Assist in receiving and recording invoices and arranges payments, ensures that all nominal ledger control accounts, and monthly bank reconciliation.
Support in facilitating accounts payable, travel requests, office supplies and stationery, general ledger, audits, monthly closings; and entering, updating and running reports.
Facilitates the procurement and proper management of required supplies, material, equipment required for the project
Assist the Field Coordinators in handling administrative issues
Any other relevant activities or duties as deemed by her/his supervisor
Duty station: Kobo Ketema and Gidan Woreda or Woldia, North Wollo, Amhara region
Terms of Employment: 10 months
Job Requirements
Minimum Requirements /Qualifications, Attributes and Traits:
Degree in Accounting and Finance, Administration or equivalent accounting qualification.
At least 3 years progressive work experience in office administration, accounting and financial management.
At least 2 years’ of experience in working with office administrative tasks and financial software, QuickBooks software and reporting systems, spreadsheet and word-processing applications.
Ability to clearly and concisely communicate ideas to a variety of audiences.
Possess good computer skills, including MS Word, Excel, MS PowerPoint, MS Outlook, Quick Book and Peach Tree accounting software and internet skills
Good in English and Amharic languages both speaking & writing.
Ability to follow directions
Able to achieve work within an agreed timetable by setting deadlines.
Productive personality traits, patience, sociable, responsible with integrity and courage.
