Job Description
KEY AREAS OF ACCOUNTABILITY:
General Programme Equipment management
Update warehouse documents such as Ledger and Stock cards right after any commodity transaction and make sure that they are reconciled with the source documents like receipt and dispatch Waybill
Keep and file all the necessary warehouse documents (incoming and outgoing waybills, DAM, loss approval, loss disposal and so on) properly and adhere with the pre-determined reporting deadlines to submit all required reports showing woreda commodity transactions
Before distribution commencing the RSK should know the location, capacity and distance of the mini-stores to help the transporter for smooth transportation of the commodity
Ensure that all documents like Master list, Payroll, waybill, Outlet and DAM are filed at mini-store level
Organize the transport of the goods (waybill and all necessary documents).
Prepare all items (logistic items) and send to destinations with relevant documents
Organize a quarterly inventory of all the stock.
Complete requisition for any item out of stock or at low stock level to be purchased
Maintain the warehouse in good condition and clean and on a proper and efficient storage.
Prepare and organize loading and unloading of goods
Support Log coordinators in any matter related to Logistics activities.
Complete weekly usage and stock reports and submits to the Logistics Coordinator.
Prepare consumption reports for donors and submit to the Logistics Coordinator.
Provide monthly report on asset and warehouse situation (asset/inventory list, stock movement).
Transportation coordination
Plan, schedule and assign in town and field trip movements to meet the travel demand of staffs and guest in the most efficient and cost effective manner.
Laisses with drivers, maintenance, programme and safety and security staff to ensure Field vehicles are fully maintained, road worthy and function properly to the standard expected
Track and records vehicle movements to ensure all vehicles are operated within set cost and efficacy & safety standards
Keeps an eye on critical fleet operational inputs and takes timely actions to safeguard the interest of the organization.
Ensure unauthorized making of any kind, transfer, or signs is not made to any part of the vehicle
Prepares periodic reports of vehicles usage and timely submits to the immediate supervisor.
Providing appropriate induction to drivers on driving policy and other fleet standards and ensure all is adhered.
Ensure all Field office vehicles are neat and clean.
Ensure that all SCI vehicles are equipped with functioning First Aid kit and Fire extinguishers, standard tools, logos and third party stickers.
Perform any other duties assigned by immediate supervisor.
QUALIFICATIONS AND EXPERIENCE
BA/BSC Degree in relevant field preferably in purchasing and Supply/transport management; Business management and management;
Work Experience 4 years, out of which 2 years’ experience directly related to the post
Very good conceptual understanding of the job
Strong interpersonal skill and customer handling
Very good skill in communication
Good written and spoken English knowledge
A good team player
