Key Responsibilities:
Leadership and Coaching
Provide leadership to GTD, Logistics and Administration functions in the management and delivery of support services and Our Promise strategy is embedded in the Departments’ annual objective and day to day work
Manage the performance of direct reports through performance reviews, frequent conversations, and other method as appropriate. Be courageous in providing coaching or feedback for continuous performance improvement
Ensure that all Managers in Support Services Managers understand GTD, Fleet, Warehouse & Distribution and Administration Policies, Processes, and Systems
Plan and coordinate departmental meetings to review status of tasks and update Senior Management Team (SLT) on the progress of the departments’ functions.
Actively communicate the issues & decisions raised by support services departments with the SLT and the decisions and priorities of SLT with the support services departments.
Managers under Support Services know and aligned with WVI and WVE strategic directions and polices
Availability of succession plans for key positions in the team and 2nd line leadership.
Business Requirements
Work closely with other departments (IP, Finance, P&C, and Resource Acquisition) to ensure the effective management and improvements of support services.
Manage high-level communication with GC and East Africa Regional office and assure GTD, and Logistics (Fleet) departments are effectively communicating updates and progress.
Ensure GTD, Logistics and Administration understand the Business Requirements and provide services accordingly
Proactively engage with Service Providers, partners, local authorities, other NGOs, Hubs and stakeholders to ensure good coordination and adequate information sharing, address common concerns/problems and seek solutions.
Ensure GTD IT Capability Management process is followed and approved prior to GTD project implementation.
Control and Compliance
Ensure GTD, Logistics and Administration related risks are identified and captured in the Enterprise Risk Management system
Insure Risk controls are in place and treatment actions are completed for mitigating/eliminating risks.
Ensure anti-corruption and fraud mitigation strategies including the internal control framework are in place and implemented.
Ensure, WVE Support Services is in compliance with all external and internal regulatory authorities (government entities, regulatory bodies, Partnership policies, and standards)
Process, Procedure, and Policy
Lead business process improvements in Logistics, GTD, and Administration to improve efficiencies by eliminating non-value-adding tasks, embedding the continuous improvement culture, meeting customer needs.
Lead in the development, implementation, communication, and review of policies, standards, and procedures for Logistics, GTD, and Administration to ensure they are aligned to WVI expected standards, policies, and procedures.
Managing Logistics, GTD, and Administration involvement in the AP/project closure to ensure that all support services-related issues and requirements for AP/project closures have been implemented
Planning, Monitoring and Reporting
Ensure annual operational planning and budgeting processes are in place for GTD, Logistics, and Administration
Review and approve SSD departments High Level Operational plans and respective strategy.
Lead the quarterly monitoring of SSD Departments operational performance and review of high-level operational achievements against plan and expenditure to ensure efficiency and effectiveness.
Ensure and agree on annual departmental Objectives and KPIs with SSD department heads
Ensure support services functions have a voice at the strategic planning table.
Review Monthly Management Reports (MMR) and ad-hoc reports to support the team on gaps and next month's plans, and update leadership on key achievements
Systems Development and Implementation
Provide leadership to enable and maintain Support Services Key business processes with technology to ensure organizational efficiency and effectiveness
Engage and collaborate with WVI Fleet, GC GTD, and WVE Business units on System challenges to enhance the effective use
Ensure maximum utilization of GTD Solutions and Services utilization by various business units and staff with in WVE
Introduce innovative ideas, approaches and solutions by providing an open, collaborative and conducive environment and learning & experience-sharing culture among the team to address challenges and enhance business processes on a continual basis
Training and Capacity Building
Ensure that GTD, Logistics, and Administration staff are trained on WVI GTD, Fleet, and Administration Policies, Processes, and Systems.
Ensure that GTD, Logistics, and Administration staff are trained and updated on their respective industry and professional trends.
Ensure that staff capacity buildings are provided by respective SSD Departments for on internalization of respective policies, standards, processes, solutions so that staff are empowered with required understanding for their work and compliances
KNOWLEDGE, SKILLS AND ABILITIES
Master’s Degree in Business Administration, or MA in Humanitarian Logistics, Information Technology, or equivalent professional qualification
A minimum of eight (8) years of progressively responsible experience in support functions (Information Technology/ GTD management, administration and/or logistics, of which five (5) years of experience directly related at least to one of the SSD Departments and have working knowledge on others At least 7 years of experience in managing staff
List additional work experience required as a minimum qualification for this position.
Self-directed individual able to work well in a team and build a team.
Good track record of people management and networking skills to work cross organizationally

Strong interpersonal and networking skills to work cross organizationally and with different cultures.
Preferred Skills, Knowledge and Experience:
Substantive experience working in the INGO sector dealing with multiple donor funds and meeting different donor requirements
Cross-cultural sensitivity, flexible worldview, emotional maturity and physical stamina.
Excellent ability to work in and contribute to team building environment.
Excellent ability to use Collaboration and productivity tools (MS Office, email systems, MS TEAMS, ZOOM, etc.) and IT applications/systems that are used by various businesses
Good interpersonal skills
Strong communication skills (oral and written)
Must be a committed Christian, able to stand above denominational diversities
List additional work experience preferred for this position.
Expertise of managing a portfolio of projects covering a range of sectors.
Wide range of experience of working with offices functions of finance, procurement, human resources, field programs/ Operations and others
Experience of managing multimillion Logistics, and IT/GTD activities and projects
Complete Travel and/or Work Environment statements if applicable.
The position requires ability and willingness to travel domestically and internationally up to 40 % of the time.
