Job Description

ROLE PURPOSE: Management supervision of fleetl & transport team. Enhanced implementation of the Fleet transformation( IVMS, Pro-fleet, and Fleet Service charge), Efficient and cost effective planning of vehicle maintenance, effective fleet deployment planning, scheduling and ensure safety. Effective coordination between Fleet, transportation and other units with in Supply Chain. Safeguard organization’s high value assets i.e. vehicles and maintain them with utmost care. Effective use of parking spaces and ensures a disciplined fleet,transportation & maintenance team.

SCOPE OF ROLE:

Reports to: Director of Supply Chain

Dimensions:  

Staff directly reporting to this post: Fleet Officer, Fleet operations coordinator, and Technical coordinator

KEY AREAS OF ACCOUNTABILITY:

Key Area  Ensure technical support to all area and field offices

  • Regular technical support supervision to all area and field offices

  • Ensuring field office gets the required support on due time

  • Make sure that technical trainings related to fleet and transport management are provided on time

B.   Ensure high standard vehicle maintenance

  • Annual/periodic vehicle maintenance planning and supervision of maintenance log

  • Review quality of maintenance service providers on the basis of set indicators

  •   Development and roll out of safeguard and safety protocol for vehicles and users

  • Strike balance between cost of maintenance and effectiveness

  •   Identify effective solution to keep the vehicles on road

  • Ensure legal compliances for all vehicles under SCI Bd (including insurance, fitness, registration etc)

  • Keep track of maintenance cost and work with finance to analyze costs for management decisions

  • Ensure timely process of vendor invoices

 Effective vehicles deployment planning & scheduling

  •  Review and approve vehicles and drivers deployment planning and scheduling

  • Authorize revision of scheduling as when required

  • Ensure drivers’ fitness and fitness of vehicles before vehicle deployment and monitor through periodical review

  • Effective planning of drivers’ overtime and ensure compliance in relation to policy and procedures

  • Ensure tasks are allocated properly among drivers and transport officials

 Effective use of facility

  •  Planned approach in using parking facility

  •    Ensure maintenance of parking facility

  • Initiate petty maintenance using the parking facility

 Enhanced implementation of Fleet transformation project

  • Properly implementing Pro-fleet

  • Effective and efficient implementation of Fleet service charge

  • Ensure real time data are extracted from our IVMS system, analysed and shared with the supply chain director for informed decision makings

  • Ensure timely process of project cost settlement for the fleet service charge

  • Ensure good coordination and communication with all stakeholders in fleet and transport, procuremet, finance and other projects

  • Work with finance on the fleet service charge settlements and other fleet and transport related costs

  • Report and schedule

    •  Annual maintenance calendar

    • Vehicle wise quarterly maintenance cost analysis

    • Monthly drivers’ overtime schedule

    • Quarterly service quality report for-workshops, travel agents and hotels

     Staff supervision

    • Agree with supervisees on annual performance plan/objectives

    •   Monitor staff performance based on agreed performance plan

    • Periodical feedback to staff and annual performance appraisal

    •  Ready to work to respond to any natural disaster or emergency situation anywhere in Ethiopia

Job Requirements

QUALIFICATIONS AND EXPERIENCE:

Academic:  B.A degree in any business related studies, Mechanical/Electrical Engineering with more than 10 years of work experience,

Professional certificates: Training/certificate course on transportation management is an added advantage

Working Experience: At least 10 years of working experience in Fleet and Transport, of which about 3 years in senior/managerial position 

Job related knowledge: Proven track record in supervising fleet and transport team, scheduling vehicles and drivers and ensuring efficient vehicle maintenance. Experience in handling large fleet of international organizations..

Skills: A good administrator, good team management skills, interpersonal communication skills and negotiation skills,  Result driven, Ability to work on deadline, Good planning and coordinating skills, Cost consciousness, High level of integrity and Excellent computer (MS Office, MS Excel, MS PowerPoint) operating skills.
