Job Description

Purpose of the Position:

Responsible for management of the Order to Cash process that address all aspects from initiation of a customer order, credit authorization and collections of outstanding debt.

Key Accountabilities

Credit Management

·       Ensure that policies and guidelines and procedures are in accordance with best practices within Multichoice and that there is a drive towards continuous improvement within OTC transactions.

·       Credit Management: Evaluation of customer credit worthiness and credit risk, recommend extension of credit to customers and monitor risk of all customers.

·       Create a structured approach for extending business to customers and ensuring a consistent approach across service groups while allowing approved exceptions as maybe required.

·       Promotion Management

○ Ensuring suitable controls around promotions.

○ Computation and Validation of the agent commission.

Management of the Accounts Receivable (AR) Ledger

·       Ensure Generally Accepted Accounting Practice (GAAP) and group reporting policies for AR and revenue are adhered to.

·       Ensure all payments from customers are received and accurately recorded in the ledger (Incl. allocation of payments and management of any unallocated amounts).

·       Match postings of payments to the AR ledger (Inc. reconciliation of the Invoicing System to Collection System/s).

·       Perform approved AR adjustments due to customer issues, refunds, write offs etc.

·       Prepare all AR reporting requirements (Inc. reviews and resolution of aged items on the aged debtor’s report).

·       Post and Reconcile AR Activities to the General Ledger (Inc. GL/SL Recons and Checks on Journal Posting accuracy).

·       Ensure appropriate provisions for bad and doubtful debt are taken per GAAP and Company accounting policies.

·       Ensure the accuracy of all AR ledger transactions through the implementation of relevant controls and checks within Operations and Finance

Manage the Debtors ledger to deliver efficient working capital through reduction of debtor days

Collections

·       Ensure adherence to the collections policy and customer segmentation.

·       Investigate and resolve customer issues relating to payments Inc.

○ Manage returned cheques if applicable

○ Review refunds done

○ Review Payment reversals done

·       Continuous review of customer accounts to ensure terms are adhered to.

·       Review collection of debt together with related Sales and Operations Functions.

Process payments – Credit Cards and Direct Debits.

Inquiries and disputes 

·       Ensure Adherence to the inquiry/dispute policies and drive process improvement to ensure adherence to the Service Level Agreement (SLA) with customers.

·       Ensure efficient and effective customer communication channels to maximize the customer experience.

·       Proactively escalate inquiries and disputes to the relevant functions within the Company for prompt resolution

·       Ensure proactive and continuous Customer correspondence on issues until resolution.

·       Perform root cause analysis for Issues/disputes.

Process adjustment and write offs as needed.

Taxation

·       Process withholding tax

Support tax accountant

People Management

·       Manage team members to ensure effective delivery of business unit objectives.

·       Team Development – Coaching, Train and Development the Accounts Receivable (AR) team using the Multichoice performance development tools to build a high-performance culture

·       Develop a high performing team by embedding formal performance development and informal coaching. Encourage frequent knowledge sharing between team members.

·       Determine and analyze development needs for the team and ensure that identified training requirements are budgeted for and executed.

·       Interview and recruit new members of the team, including determining appropriate compensation levels with input from HR

·       Create effective workforce and recruitment demand plans to ensure that current and future business requirements can be met.

·       Review and update the department’s organisation structure and role description on at least an annual basis to ensure that they are fit for purpose and contain all the accountabilities of each team member.

·       Approve leave requests for team members and create leave plan to ensure adequate coverage.

·       When required, initiate disciplinary processes for team members calling on support from HR when required.

·       Resolve grievances raised by team members and escalate only if required.

·       Address poor performance of any team member through the formal Performance Improvement programme and ensure that continued poor performance is appropriately dealt with.

Motivate team members and ensure that their efforts are recognized

Job Requirements

The incumbent is required to have the following qualifications and experience level:

  • Relevant Degree in Finance 

  • Min 4+  years in relevant experience
