Job Description

Reporting directly to the CEO, the Executive Assistant provides executive, administrative, and development support to the CEO. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant serves as a liaison to the CEO and Senior Management Team. He/she organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Main responsibilities

  • Acts as the first point of contact for the CEO, proactively and promptly reviewing and tracking incoming enquiries such as emails, invitations, complaints, and correspondence, responding directly or advising on responses to the CEO, providing clarity of actions.

  • Manages the CEO's email inbox to ensure all important communications are flagged and receive a response.

  • Disseminates information to senior leadership and maintain a system to ensure action is taken by senior leadership.

  • Makes administrative arrangements and planning for internal and external meetings and conferences, attending as necessary and to operate a system to ensure the CEO is fully briefed for meetings.

  • Provides high level secretariat support to key internal and external meetings involving the CEO, including preparing agendas, coordinating, or writing papers, producing minutes, and ensuring follow-up actions are progressed.

  • Prepares correspondence, reports, memos, and presentation material as required.

  • Forwards plan with the CEO to ensure actions are completed and meetings are scheduled in the calendar.

  • Provides project support; conducting research, reviewing, and summarizing reports, presentations, and documents suitable for presentation to Executive Meeting.

  • Develops and maintain the CEO’s paper and electronic filing and information systems.

  • Maintains a coordinated and up-to-date calendar for the CEO by determining the urgency and nature of requests, making necessary arrangements, and resolving time conflicts.

  • Handles other activities as assigned

Job Requirements

Qualification and Experience

BA degree in Economics, Business Management, Marketing, Finance or related fields with Five (5) years of demonstrated experience.

Competencies (Skills& abilities)

  • Excellent communication and presentation skills

  • Problem-solving mindset & conflict handling capacity

  • Ability to report clearly and accurately.

  • Understanding business functions such as finance, procurement, marketing etc.

  • Ability to work in busy environment

  • Proven experience in using Microsoft applications

  • Experienced in data analysis and reporting

  • Detailed and quality oriented

  • Schedule management skill
