Job Description

The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified female Candidate to fill the position of Storekeeper 2 (1 year fixed term contract), based in Addis Ababa. 

PURPOSE

  • Repairs and maintains ICRC vehicles, generators & other logistic assets mainly independently

  • Strictly follows safety instructions in carrying out routine works

  • Assists other Mechanics on complex maintenance cases

  • Trains Mechanics and helpers

GENERAL DUTIES

·       Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement

·       Understands and adheres to the ICRC Code of Conduct

·       Understands the roles of the components of the International Red Cross and Red Crescent Movement

·       Respects and observes staff regulations and security rules at all times

·       Represents the ICRC in a professional manner at all times

·       Develops and maintains a pleasant and conducive working environment with colleagues and line managers

·       Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC

·       May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary

ACCOUNTABILITIES AND RESPONSIBILITIES

Function description:

Ÿ  Ensures proper storekeeping for all spare parts of all ICRC vehicles, generators, water pumps, Trucks and other ICRC equipment as per ICRC standard

Ÿ  Identification and issuance of required spare parts to either Workshop technical staff or other sites in the country

Ÿ  Packing and dispatching parts to other places in the country upon request from WS manager and presentation of a valid Requisition order

Ÿ  Maintenance of correct stock levels

Ÿ  Maintenance of stock cards and other inventory paperwork

Ÿ  Ensures all the stock items are accompanied by the appropriate documents

Ÿ  Receiving goods, accurate monitoring of received goods, matching the paperwork

Ÿ  Issuing parts to Workshop mechanics upon presentation of a Job Card approved by the Workshop Manager

Ÿ  Ensuring expensive replaced parts are swapped with old damaged ones

Ÿ  If needed, assisting the Workshop secretary in the preparation of the necessary Packing Lists and Waybills

Ÿ  Conducting regular inventory of stored goods

Ÿ  Distribution of fuel for residences and hospital (During day/night)

Store keeping

Ÿ  Records according to the standards all goods received and submit detailed list of all spare parts to the workshop manager

Ÿ  Ensures proper planning for the regular supply of spare parts to the mechanics

Ÿ  Ensures accurate stock control at all time

Ÿ  Ensures the proper protection of spare parts against fire, humidity etc. within store

Ÿ  Ensures proper recording of old tires ready for disposal

Ÿ  Ensures notification of stock minimum to the workshop manager right in time and further to report the need of spare parts to the same

Ÿ  Ensures cleanness of the warehouse and that safety standards met at all time

Ÿ  Responsible for the proper handling of spare part catalogues

Ÿ  Storing parts in a logical and safe manner always with an eye for security

Ÿ  Ensures proper administrative filing system (i.e. packing lists, receiving and issuing reports) according to the ICRC standards.

Ÿ  Ensuring that correct stock levels are kept

Database management

Ÿ  Enters correct and complete input of the stock

Ÿ  Enters movements into Database including up-dating job cards

Ÿ  Ensures fuel consumption and fuel receipt is entered in the FleetWave database

Ÿ  Entry of used cards on Job cards

Storage of goods and Store activities

Ÿ  Ensuring proper storage of all goods and protecting them adequately from heat, freezing, water, fire, dirt and vermin

Ÿ  Ensure that no goods are stored directly on the ground

Ÿ  Ensuring that stock cards are attached to all batches

Ÿ  Ensuring a good access to goods

Ÿ  Keeping strict eye on rules applicable to DGR (Dangerous Goods Regulation) items (gas, corrosive products, explosive products…)

Ÿ  Ensuring the daily maintenance of the Stock and Bin cards

Ÿ  Regularly running statistics for all types of stocks managed by his Store

Ÿ  Ensuring the follow-up of the correspondence for all the stocks / filling

Ÿ  Keeping filling system transparent and readable

Reception and inspection of incoming goods

Ÿ  Supervising and assisting the clean and safe unloading of arriving consignments and checking that all consignments are accompanied by their respective waybills and packing lists

Ÿ  Comparing the number of parcels to the delivery form/Waybill, signing the delivery forms and transferring the cargo to the stocks

Ÿ  Performing a complete entry inspection and informing the Immediate Supervisor of any discrepancies between packing list, PO, RO and physical consignment

Ÿ  Performing a quality control (kind of good, quantity, packaging, labeling etc.) of all arriving goods

Ÿ  In coordination with the Purchase unit, carefully inspecting supplier's deliveries in terms of quality and quantity and comparing those with the Purchase Order

Ÿ  Inspecting ex-Geneva cargo according to principles similar to the ones used for ex-suppliers deliveries, comparing Geneva Packing-Lists to the ROs issued by the Procurement unit

Ÿ  Issuing and/or updating Bin Cards for all arrived items

Distribution and packing

Ÿ  Immediately recording the picked items in the respective stock/bin card

Ÿ  Providing protective packing for breakable items

Ÿ  Ensuring that all consignments are packed appropriately and weighted

Ÿ  Marking parcels with consignee, destination, order number and parcel number

Ÿ  Marking parcels with transport instructions or warnings (breakable, dangerous goods etc.)

Ÿ  Ensuring that all packed consignments are accompanied by an accurate and complete packing lists and issuing of a waybill upon loading

Ÿ  Following-up ROs from the moment of reception to their closure

Ÿ  Supervising safe and clean loading of consignment

Security

Ÿ  Locking spare parts warehouse whenever no staff is present

Ÿ  Control of authorization to enter the spare parts warehouses of all personnel

Ÿ  Ensuring that only authorized consignments leave the spare parts warehouses with appropriate documentation

Warehouse facilities

Ÿ  Responsible for the maintenance of the warehouses as well as its infrastructure (pallets, shelving, electricity and water supply, lighting, air-conditioning)

Ÿ  Reporting any damages or need for repairs to the Workshop manager

Ÿ  Maintaining tidiness and cleanliness of warehouse

Inventory

Ÿ  Ensures regularly general inventory counts and reconcile with bin cards and stock-card

Ÿ  Taking active support role in the yearly or Ad Hoc formal inventory

Reporting

Ÿ  Reports to the Immediate Supervisor in order to enable him / her maintaining optimum stock levels, using cards or other systems, this according to regulations in place and instructions received by the Immediate Supervisor

Ÿ  Ensures proper reporting for undelivered and damaged spare parts

Ÿ  Reporting any discrepancies to Immediate Supervisor and correcting all related documents

Ÿ  Immediately reporting any stock out to Immediate Supervisor

Others

Ÿ  Informing the Warehouse Manager of any movement of items that does not follow the normal routines

Ÿ  Replacing the Warehouse Manager in one or all his duties during absence

Ÿ  Helps cleaning tools, workshop and compound

Ÿ  Performs weekly and monthly controls of equipment, tools  and logbooks

Ÿ  The Storekeeper has no decisional power as regards orders / purchases, but must have specific knowledge of the items stocked in the store.

Job Requirements

Minimum required knowledge & experience:

Ÿ  2-3 years as Spare part and Fuel Storekeeper

Ÿ  Diploma from Technical School with some training on store management or supplies management

Ÿ  Good Verbal and basic written English knowledge

Ÿ  Driving license (B;C) for at least 2 years

Ÿ  Confirmed computer skills in Word and Excel

Ÿ  Organized and methodical person, ability to work independently

Ÿ  Strong personality and independence to ensure security of the spare part stock

Ÿ  Honesty and integrity
