Job Description

Role Summary

Under close supervision of Country IQFS Manager, the IQFS document controller will manage day to day the flow of IQFS documentation. His or her responsibilities include handling, reviewing, filing, and maintaining transparent, up-to-date and easily traceable documents

.Duties & Responsibilities

Review and Approve/Reject Document addition, revision, removal, or adoption requests

Shall assign document numbers according to the IQFS document codification.Check and edit documents for accuracy and compliance  Publish and communicate controlled documents

Designing templates for documents, file types, and document databases Checking and editing documents for accuracy and compliance Controlling the flow of documents in and out of department Reporting errors or developments regarding document storageS hall ensure that the required document identified as “Controlled” are made accessible to end users. Is responsible to collect the old documents and remove it from the system. Plan and register the retention period of these obsolete documents (hard copy or on software)Ensuring the secure destruction and disposal when needed Updating and maintaining document management systems and physical records. Maintaining the security of confidential documents .Assisting employees with accessing documents through our document management system Conducting internal audits and reports regarding the document control  

Job Requirements

Required qualification (Criteria)

  • 1-2 years experience in document management, archive management, or records management

  • Hands-On Experience with MS- Office (Special; Attention to MS- Excel)

  • Management Systems Knowledge

  • Reporting

  • Organizational Skills

  • Typing speed of 65 to 70 words per minute.

  • Report writing skills

  • High- level Documentation and Recording Skills

  • Collaborative and Good communication skills

  • People Management Skills

  • Stress Management Skills

  • Emotional Intelligence
