Job Description

Key Responsibilities 

  • Develop Departments budgeted for logistics and Operation functions, keep a careful eye on costs, and optimize the cost with the benefit of the company in the Operation and Logistics area 

  • Make sure operations flow smoothly, instruct accordingly the company corporate goals

  • Set goals and objectives the department and ensure that all services are delivered on time, within budget, and according to targeted standards and specifications. 

  • Managing the inventory of materials to ensure availability enough stock of all items needed 

  • Building and controlling Operational cost structure, improving efficiency and increasing profits while managing costs. 

  • Responsible and participate in the selection of new department staff 

  • Maintain continuous lines of communication with the Management team and keep the General Manager aware of Logistics, operation, and Customer Satisfaction status reports. 

  • Projects a positive image of the organization to employees, customers, industry, and community. 

  • Oversee the development and implementation of new technology and systems to support the operation and logistics department 

  • Ensure compliance with all relevant laws, regulations, and company policies,  Review all operation and logistics processes and procedures on the basis of company corporate governance and legal requirements, 

  • Analyze all projects & recommend improvements to all business policies and procedures 

  • Improves customer service and satisfaction through policy and procedural changes such as improving the transportation process, reviewing the process of operation, and Logistics activities.

  • Inspects and diagnoses problems to determine corrective actions/repairs in all operational activities.

  • Respond to emergency site intervention towards government offices such as but not limited to customs as required.

  • Determines any changes in programs or operational that are required by complex regulations, plans establish procedures, national standards, etc. 

  • Interprets the terms of various contracts and ensure internal compliance with those terms.

  • Maintains excellent customer/client methods of communication to permit efficient problem resolution and acceptance of new services or programs. 

  • Assist all customers and stockholders to ensure smooth functioning of all organization

Planning and Strategy Execution Strategic Planning 

  • Develop and implement strategies in alignment with organizational strategy and objectives to improve the overall efficiency and effectiveness of the department while reducing costs

  • Cascade and communicate the strategic objectives, goals, initiatives and operational plan of the department and evaluate continual department performance and insure cascading to all managers and team leaders.

  • Make sure that the cascaded objectives are communicated to all employees of the department and monitor their persistent execution on a daily, weekly and monthly basis

  • Make sure that the developed plans are adhering to the mission and Vision of the company and are in support of Company Values

  • Develop Performance monitoring and evaluation timeline, activities, and projects to roll out in support of the strategic direction 

  • Establish staff performance standards, development goals, assign accountabilities, set objectives, establish priorities and conduct performance appraisals

Strategy Execution 

  • Make sure all employee’s Cascaded strategic initiatives are SMART and evaluated as per the sated standard 

  • lead the implementation of automating the strategic and Operational functions of the department.

  • Track if the action plans and activities outlined by Operation and logistics can be achieved with satisfaction

  • Develop departments Strategic plan in alignment with cascaded Company business goals and department initiatives 

  • Conduct a one-to-one discussion with each employee periodically

Leading 

  • Oversee, direct, Supervise and organize the work of the Operation Manager (Team Leader) and Logistics manager’s initiatives 

  • Coach and support employees under his supervision to succeed in his/her role, meets with individual team members to give feedback and constructive criticism. They guide employees through obstacles and celebrate their success. 

  • Promote a culture of high performance and continuous improvement that values learning and development with passionate for Quality service provision 

  • Identify competency and Developmental gaps of employees and ensure staff members get timely and appropriate feedback, training and development in alignment with Company Organizational Learning and development

  • Coach, Mentor and develop employee competency by providing on the job training and continual support to develop successors 

Monitoring 

  • Monitors and evaluates the efficiency and effectiveness of service delivery methods and procedures; recommends appropriate service and staffing levels in compliance with company policies 

  • Monitor trends and developments in the logistics industry to identify opportunities for process improvements 

  • Work closely with team leaders, senior staffs and other department managers to check the alignment of his/her department functions and for the attainment of company goals

  • Ensures that the responsibilities, authorities and accountability of all direct reports are defined and understood. leads, directs, and communicates with the staff to keep them informed and motivated

Measuring Performance

  •  Evaluate overall department activities, determine the job content

  • Develop and cascade measurable KPIs and set tracking mechanisms for all department staffs 

  • Periodically assess, evaluate and measure department employee’s performance and make sure performance management system is implemented in the department 

  • Generate staff performance report with suggested PIP and development plans

Improve Operational and Logistics Performance 

  • Collaborate with external stockholders for the betterment and excellency of Operation Shipment Delivery Time. 

  • Identifying and implementing methods to increase efficiency in the supply chain process, such as developing new routes or finding ways to reduce fuel consumption on service delivery 

  • Make sure that all operations made are invoiced on the agreed date 

  • Establishing relationships with vendors and suppliers to obtain the best prices for materials and services. Negotiate contracts and rates with vendors, carriers, and other service providers 

  • Evaluate the current space usage and optimize space utilization systems. 

  • Assisting with the maintenance of facilities such as warehouses, docks, and storage lots to ensure they are safe and operational 

  • Improve service delivery time of both operation and Logistics teams and making sure that all shipments are delivered safely, on time, and in good condition  Implement and make sure that the route management of the company is contributing to cost efficiency and service effectiveness. 

  • Support and direct the implementation and successful execution of change tools and Membership requirements (like ISO, FIDI and Kaizen) in the department 

  • Carry out similar to the above activities whenever instructed by the general manager.

Reporting Tasks 

  • Generate reports on departmental performance and KPIs 

  • Prepares and presents monthly operational progress reports

  • Establishes a system, which provides timely and periodic reports from managers  Report periodic strategic and operational performance within the agreed timeline with General Manager

Decision Making Authorities

  •  Make a contractual agreement with a third party in concertation with the General manager 

  • Fill Performance of managers under his supervision and approved other staff’s evaluation 

  • Execute approved procedures of the department

  • Direct and lead operation and logistics activities on the basis of the company law and the General manager’s guidance. 

  • Interpret and execute organizational policies and procedures

  • Budget development and resource allocation skill

  • Ability to Manage operational stress and lead multiple activities

Job Requirements

Required Education

  •  BA/MA degree and Above in Logistics and Supply Chain Management, Business Management, Management, Marketing Management, Economics and related field of studies

Work Experience

  • 8 years for BA degree and 6 years for MA degree proven years of experience out of which at least two years on similar managerial Position

  • Strong background and work experience in Logistics and Supply Chai
