Our new leading edge manufacturing and bottling facility is located in Cha Cha - Debre Birhan (ደብረ ብርሃን)

 PRIMARY PURPOSE

The HR Manager at chacha plant will represent the HR Department and work as an internal professional for the assigned unit/district and plays an enabling business support role by providing input across a range of HR issues and delivering high impact HR solutions to meet the business needs for the plant as well the whole company.  The HR Manager assesses and anticipates any human resources-related needs and informs the HR department as well other stakeholders in the company. The HR Manager assists in talent acquisition and development, organization design and HR operations. HR Manager is responsible for supporting recruitment and staffing strategies with special emphasis on creating and maintaining a well-qualified and diverse pool of candidates in a timely and cost effective manner for Rorank Cha Cha plant based departments/units. HR Manager will also be responsible for ensuring all employment practices are managed in accordance with the law and Rorank policies and procedures; maintains proper documentation of each process and prepares periodic reports; performs other related tasks as required. 

DUTIES AND RESPONSIBILITIES

General Support

Ø  Support all internal and external HR related inquiries or requests.

Ø   Support the management of disciplinary and grievance issues

Ø  Keep up-to-date with the latest HR trends and best practice.

Ø  Keep always information of HR department confidential.

Ø  Keep and update staff leave records; by reminding line mangers to approve leave request on time.

Ø   Follow up Cha-Cha Canteen service and staffs

Ø  Cleaning and catering services monitored to ensure efficiency and effectiveness

Recruitment/New Hire Process

Ø   Assist the hiring managers to prepare Job descriptions, advertise vacant positions, shortlist and schedule interviews.

Ø   Posting job ads and organizing resumes and job applications

Ø  Scheduling job interviews and assisting in interview process

Ø   Review completeness of recruitment documents and obtain all relevant information for preparation of contracts.

Ø  Ensure job offer letters, contract agreements are timely prepared with Job description and signed by the employee

Ø   Ensuring background and reference checks are completed

Ø  Preparing new employee files

Ø  Overseeing the completion of compensation and benefit documentation

Ø  Ensure all newly hired staff are scheduled for on boarding/orientation programs

Ø   Manage and update CV pool

Ø   Follow up status of recruitment for open and vacant positions.

Ø  Ensures if all required internal organizational policies and forms signed by the new hire; i.e. employee manual, Rorank policy document, etc.

 Training and Development

Ø  Assist in planning, coordinating and makes schedule of all training programs

Ø  Conducts follow-up after training.

Ø  Assist on Developing and maintaining training programs of all internal and external training

Ø  Ensure all training is monitored and recorded Performance Management

Ø  Assist the HR Manager in getting completed evaluation on time and compiling relevant information from the performance evaluation

Ø   Ascertains timely setting up of Goals and submission Reviews, and also setting of objective

Ø   Ensure all staff has specific roles and received performance evaluation as per the timeline.

Ø  Assists in drafting annual appraisal process calendar, circulate necessary forms and templates

 Record Maintenance

Ø  Biographical and organizational data for new employees captured

Ø  Employee data maintained by capturing employee status changes daily

Ø  Details of employee terminations processed daily

Ø  Staff movements reconciled monthly

Ø  Time data administered and tracked; time corrections made and overtime processed

Ø  System information audited on a regular basis to ensure validity

Ø  Monitors human resource movement and utilization throughout Hillmaster

Ø  Updating and maintaining employee benefits, employment status, and similar records on Hillmaster

Ø  Maintaining records related to grievances, performance reviews, and disciplinary actions Performing file audits to ensure that all required employee documentation is collected and maintained

Ø  Ensures complete and up-to-date filing of all Human resources documentations (of policies and procedures) as per the agreed filing system at all times;

Ø  Oversee the completion of compensation and benefit documentation.

Ø   Handles administrative issues related to HR (annual leave, personnel data, labor relations…)

Ø  Ensure that each employee has completed all pension formalities and has obtained a pension ID card.

Ø  Monitor contract expiry dates and renews contracts before it expires

Employee Benefits & Compensation Management

Ø  Prepare & compile payroll inputs and overtime information and send report to HR Manager on time.

Ø  Follows up report with regards to staff workman compensation insurance

Ø  Oversee staff medical claim request for reimbursement

Employee Relation

Ø  Advise Managers and Supervisors on staff management, managing employee relations and grievances.

Ø  Build culture of teamwork, commitment, and performance across all departments

Ø  Manage all other employee related-issues

Ø  Grievances processed and records maintained

Ø  Employee queries and complaints dealt with

Ø  Employees counselled

Ø  Managers assisted with employee discipline and grievance issues

Ø  HR Policies & Procedures applied and complied with in all dealings with employee matters

Job Requirements

EDUCATION:

Ø  BA degree in Management, Business Administration or Human Resource Management or related fields.

TRAINING:

Ø  Min: Required to have proficiency in Excel (Advanced) and Word as well as relevant HR Information Systems

EXPERIENCE:

Ø  Min: 6 years’ experience in an HR administration role, working with an HRIS software application

Ø   Ideal: 7 years ‘experience in an HR administration capacity working with an HRIS, preferably in an FMCG and manufacturing environment

TECHNICAL COMPETENCIES

Ø  Technical experience in Human Resources and/or Business Administration

Ø  Knowledge and understanding of Ethiopian employment and labor relations law

Ø  Knowledge of best and current HR practices and approaches

Ø  Experience conducting training needs analyses

Ø  Experience developing and delivering trainings

Ø  Broad knowledge and experience in compensation, organizational planning, organization development, employee relations, safety, and training and development

Ø  Ability to lead the analysis of employee feedback and data, with the aim of creating a better working environment and engaged culture

Ø  Sound administrative practices

Ø   Report writing skills

Ø  Advanced Excel spreadsheet & word compilation

Ø  Employee relations & employee engagement

Ø   HR Systems & Tools

Ø   Excellent verbal and written communication skills

Ø   Must be able to work under pressure, meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
