Organizational Background

The Ethiopian Medical Laboratory Association (EMLA) is a not-for-profit, nationwide professional association for laboratory medicine in Ethiopia, officially registered with the Ministry of Justice in 1964, and re-registered by the Ethiopian Government Law of Charities and Society Proclamation No. 621.2009. EMLA’s objectives are to promote policies, programs, and technologies which assure continuous improvement in the quality of laboratory education, practices, services, health outcomes and research, and to contribute to the national health programs in general and in the fields of laboratory medicine in particular. EMLA is founded based on a range of roles that include (1) Advancement of laboratory medicine through policy development, advisory, national standards setting and advocacy in collaboration with ministry of health and its subsidiary agencies and other local and international organizations, (2) supporting its members through scientific and educational endeavor for their career development, and (3) providing a series of trainings, conferences and focused mentorship in order for laboratory medicine to meet standard requirements.

PURPOSE OF ROLE

The CPD and PSE coordinator role is primarily responsible for administrative support, answering enquires, venue bookings and maintaining and improving processes and contribute to the overall success of medical laboratory professionals in Ethiopia under the Continuing Professional Development (CPD) and Pre-Service Education (PSE) programs of EMLA.

KEY RESPONSIBILITIES

This position is responsible for providing a range of administrative and support services to meet the operational needs of EMLA’s CPD and PSE activities.

Key responsibilities include:

  • Providing administrative support to the CPD and PSE teams, responding to queries in person, via virtual platforms, phone and/or email;

  • Maintaining the events inbox and auctioning any queries within 24 hours of receiving request;

  • Assisting with member number requests and membership queries;

  • In collaboration with program teams, managing event logistics including event inquiries, registrations, invoice processing, room bookings, catering arrangements and quality control;

  • Manage the bookings and registrations for face-to-face, online, blended and webinar CPD and PSE training of medical laboratory and other elated[BS1]  professionals.

  • Monitoring events registrations, providing regular updates to CPD and PSE teams and organizing Program Director.

  • Supporting event promotions by preparing and delivering promotional activities e.g. event flyers, creating zoom links and website updates, in line with the agreed promotion approach

  • Updating the event evaluation data fields including updating post attendance registrations and evaluation scores and completing activity reports and post event attendee follow up

  • Preparing all event documentation and resources, ensuring organizing program coordinator has all relevant documentation including event packs, venue information and CPD and PSE key messages

  • Providing administrative support in event management, systems maintenance and activity reporting for the overall CPD and PSE program team on an ongoing basis

  • Supporting the effective operations of the CPD and PSE program team by monitoring and ordering supplies so the right materials/resources are available when needed

  • Supporting and attending CPD and PSE events virtually and / or in person when required;

  • Performing other duties commensurate with skills and experience as directed by the EMLA Executive Director

  • Supporting the collection and maintenance of high-quality data in compliance with policies and procedures, including the protection of confidential information and the implementation of data quality improvement plans

  • Participating in the development of a safe and healthy workplace and comply with EMLA legislation and instructions given in adhering to safe work procedures

  • Perform any other duties of the organization when assigned.

Reports to: EMLA Executive Director

Duration: six months with possibility of extension based on performance and availability of budget.

Job Requirements

Qualifications:

  • BSC or above in Medical Laboratory Sciences.

  • Experience with event operations and training activities.

  • Experience using communications for advocacies and/or promotions.

  • Experience hosting online webinars.

  • Previous experiences with pre-service education and CPD activities are critical.

  • An understanding of the medical laboratory services environment and experience in communicating with Medical Laboratory and other healthcare professionals.

  • Excellent interpersonal and communication skills

  • Highly organized with great time management skills

  • Ability to work independently  but also within a team.

  • Exceptional attention to details.

  • Experience using MS Office and related applications including strong knowledge of Word, Excel and Power Point.

  • Possess a 'can-do' attitude, and be willing to take initiative and multi task

  • Ability to work evenings and occasional weekends to assist with events
