Job Summary

The Base and administrative Officer is responsible for the hosting and hospitality of all IFS, local relocatable staff and visitors to the SP Tigray office and provide administrative and clerical services. The Base and administrative Officer will liaise with the rest of the Logistics Team to ensure all team houses and office(s) are supplied and maintained. In addition, the base and administrative officer will work under the supervision of the Area manager to coordinate the finance and HR teams by providing needed assistance for prior quality of team work. This position requires commitment and understanding of SP Mission and Statement of Faith, as well as agreement and compliance with the Samaritan’s Purse statement of faith and policies. 

Job Requirements

Key Responsibilities

·       Orient new staff and visitors to the operations and city; may also involve developing &/or facilitating itineraries, outings, and agendas

·       Initiate and/or coordinate IFS and national staff care events in co-operation with Administration Officer (including team meals and retreats), neighborhood outreaches, and office events

·       Assist with the selection and rental of new properties for base operations; may involve negotiating with landlords, drafting leases, monitoring utilities & rent payment schedules.

·       Identification and resolution of all issues and the overall management of these properties and grounds in Addis and as needed at sub-site field locations.  

·       Oversee team houses and office to be fully operational and functional

    a.       Ensure all visitor rooms are always ready when needed

    b.       Ensure team houses are equipped with supplies and ensure any maintenance problems are solved;

    c.       Provide oversight for office cleaning staff

   d.       Take pro-active action in the identification and resolution of all issues and the overall management of these properties and grounds. 

·       Assess, manage, and report critical physical, emotional, or spiritual concerns of supervised staff

·       Assist in streamlining administrative processes throughout the country office as required.

·       Demonstrate the qualities Christian servant leadership in all aspects of work and relationships.

·       Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing meter fund

·       The Officer will perform other duties as assigned by the Senior Operations Manager.

·       Oversee the Office Store and Local Warehouse in coordination w/warehouse staff

·       Make Office recommendations to all sectors for operational and efficiency purposes.

·       File and retrieve corporate documents, records and reports

·       Open, sort and distribute incoming correspondences including emails

·       Perform general office duties such as ordering supplies, maintaining records management database systems, performing basic bookkeeping work and line manage office staff

·       Prepare invoices, memos, letters, financial statements and other documents using, word processing, spreadsheet, database or presentation software

·       Read and analyze incoming memos, submissions and reports to determine their significance and plan their distributions

·       Manage all incoming and outgoing correspondence and draft correspondence as required

Supervisory Responsibilities

This position will potentially involve supervision of the cleaning, maintenance and kitchen staff. It carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include the supervision of the selection, training, development, appraisal and work assignments of personnel. Additional responsibilities of rewarding and disciplining employees may result; addressing complaints and resolving problems as needed.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Education / Experience Needed

One to two-year related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.

·       Camp in remote field sites for 1-3 days at a time

·       Ride in light vehicles over rough terrain

Position could require extensive travel in and out of the field.
