Job Description
Ensuring proper safety, security and handling of SCI fleets to the best interest of the organization and manage SCI Ethiopia, Waghimra FO vehicle fleet in accordance to the operational needs and in compliance with the required standard procedures. The post holder will also be responsible for compiling all Waghimra FO SCI vehicles performance reports, preparation in line with SCI Fleet Management Manual and policy documents.
Plan, schedule, and assign in-town and field trip movements to meet the travel demand of staff and guests in the most efficient and cost-effective manner
Track and record vehicle movements to ensure all vehicles are operated within set cost and efficacy & safety standards
Providing appropriate induction to drivers on driving policy and other fleet standards and ensuring all have adhered.
Under the direct management of the Senior Supply Chain coordinator the post holder will be fully accountable for fleet services based in the location providing a high level of strategic development and service delivery
Collect, collate and provide monthly quarterly, and annual management reports for the Field Office fleet operations and to meet Key Performance Indicators (KPIs)
Provide KPI appropriate induction to drivers on driving policy and other fleet standards and ensure all is adhered in adheres with security regulations, technical skills, and legal requirements
Ensure in coordination with mechanic’s team that all procurement and pipelines of maintenance and replacement of supplies provides Value, are of correct specification and accountable.
Provide effectively and cost-efficient resource planning and scheduling for all fleet assets within the location as well as ensure that technical maintenance support is carried out in accordance with standard maintenance guidelines and schedules
Maximize the fleet efficiency and cost-effectiveness through planned resource allocation in accordance with procedures and guidelines issued by SCI CO
Provide technical input into the decision-making process concerning the issue of transport services, availability of vehicles and trucks for relief supplies either by SCI transport means or outsourced commercial services
Keeps an eye on critical fleet operational inputs and takes timely actions to safeguard the interest of the organization.
Ensure unauthorized making of any kind, transfer, or signs is not made to any part of the vehicle
Prepares periodic reports of vehicles usage and timely submits them to the immediate supervisor
Ensure all Field office vehicles are neat and clean
Ensure that all SCI vehicles are equipped with functioning First Aid kits and Fire extinguishers, standard tools, logos, and third-party stickers.
Perform any other duties assigned by the immediate supervisor
Technical:
Management, control and accountability of all fuel supplies and provide fuel management support including contingency planning and storage.
Ensure that all SCI fleet asset and driver administration is executed in a professional manner and in accordance with SCI standard procedures and legal obligations as per the traffic law in Ethiopia
Ensure fleet inventory, vehicle and driver data files, registration, annual inspection and documentation of import/export/transfer of fleet assets are comprehensively documented
Ensure that ALL accidents and incidents are reported correctly and documented and insurance claims are properly handled to the CO
Ensure that fleet assets are serviced, maintained and cleaned according to standard maintenance guidelines and schedules
Provide technical assistance to drivers and others that need technical support
Capacity Building:
Build and develop the capacity and capability of the fleet operations management team through the use of effective training, performance management frameworks and development plans ensuring the highest standards are met at all times
Ensure professional training for the field office drivers and other fleet management staff
Other:
S/he will be required to carry out inductions with staff on all aspects of fleet management including safety and security and personal responsibility
S/he may be required to represent Save the Children in fleet managment related seminars or workshops
S/he may be required to provide technical support to implementing partners
As a member of the Supply Chain team, S/he will work collaboratively with the team members to ensure good coordination, communication and planning.
QUALIFICATIONS AND EXPERIENCE
3 years of INGO experience in Fleet Management, within a complex/large scale development country programme and in humanitarian responses.
Experience in all technical areas of fleet management, including maintenance, driver management, safety and security, supplier management, contracting and performance management.
Networking and diplomacy skills across a wide stakeholder group internal and external
Experience of building and implementing systems that meet operational requirements.
Ability to synthesize and analyse information, and make clear, informed decisions.
Experience of advising SMT (Senior Management Team), including strategic development.
Excellent planning, management and coordination skills, with the ability to organise a substantial workload to meet the organisation’s ambition
Strong communication (written and spoken), and interpersonal skills in English and Ahmaric
Desirable:
Advanced driving licence and mechanical training
Understanding of institutional donors (USAID, ECHO, DfID, UNHCR, UNWFP) and governance structure for fleet management
Strong preference will be given to candidates who can demonstrate clear learning and training qualifications within the Transport/Fleet Management sector either commercial or non-governmental

Additional Note
Hardship allowance will be paid 50% of the basic salary for Female staff and 40% of basic salary for Male staff
