Job Description
Facility Administration Manager is responsible for leading and managing the transportation, security, sanitation, property, maintenance/repair, utility, Building Administration, Liaison and other Facilities services of the company to ensure smooth flow of operation. For all areas Facilities Services, establish processes and procedures ensure they are implement, monitor completion and quality, troubleshoot and solve problems of department and subunits. Responsible for the smooth and efficient offices operation of the Company by ensuring safe and timely facility services.
Key Duties and Responsibilities:
Leadership
· Lead and manage the transportation, security, sanitation, property, maintenance/repair and other Facilities Administration services of the company.
· Align the activities of Facilities Administration Services with the annual plan and all routine operations.
· Ensure Maintenance and Facilities services are properly supporting the company’s operation.
· Set Departments goals, define deliverables, set deadlines, & allocate assignments for routine operations
· Develop and implement policies, procedures, systems & processes relevant to Administration Services.
· Monitor and communicate progress of ongoing Facilities Services activities’ & special projects to the Director Human Resource and Operation.
· Management – people and self-Management
· Work with Human Resources and Operation Manager to learn about the business context for Facility Services operations.
· Collaborate with the Human Resources and Operation Manager to set annual and quarterly goals for your own performance, to ensure frequent feedback and coaching, to participate in all appropriate training and development activities, and to have at least an annual performance review.
· Participate in selection of Facilities Services staff.
· For each team member, set goals, provide motivation, give on the job training, give feedback and coaching, and conduct performance reviews.
· Make sure team members receive appropriate training and development on a regular basis.
· Provide formal career guidance and development for team members
Technical
· For all areas of Facilities Services, establish processes and procedures, ensure they are implemented, monitor completion and quality, troubleshoot and solve problems related to
§ Transport services and vehicles
§ Payment of rent, utilities
§ Management of buildings
§ Permits, contracts, inspections, licenses for all facilities and vehicles
§ Insurance coverage
§ Identify, establish and manage accommodation for expatriate staff; Expat accommodations, and documents
§ Sanitation and cleaning services
§ Safety and security
§ Property and fixed asset management
§ Maintenance [Building, Furniture, Equipment’s and Vehicles]
§ Administrative
General Duties of the Position:
· Develop and implement the Department’s plans and objectives.
· Develop, approve and monitor the division’s budgets.
· Identify human resources requirements of the Department and develop plan for meeting the requirements.
· Develop, implement and review relevant departmental policies and procedures.
· Review, approve and submit Departmental reports to relevant organs.
· Support the development of subordinates through periodic performance evaluations, coaching, mentoring, ongoing performance dialogue and feedback.
· Manage disciplinary concerns of the Department’s staff.
· Represent the Department in internal and external relationships.
· Participate in-group decision-making process by forming part of different groups/committees.
· Perform other duties as and when required
· Bachelor's degree in Business Management or related field
· Minimum of 6 years’ experience which 2 Year in senior Position
· Demonstrated strong leadership, communication skill are essential
Good in Microsoft applications including Word, Excel and Outlook.
· Initiative in problem solving
