Joining our team of experts as an Administration and Finance Assistant, you will be responsible for providing administrative, organizational, bookkeeping, and financial support to ACE Advisors. We are looking for an organized yet highly efficient with excellent problem-solving skills and attention to detail.

Key Responsibilities:

  • Coordinate all aspects of office administration  and oversee the smooth operation of  ACE Advisors’ office to ensure the office remains a welcoming and professional setting

  • Coordinate and arrange office and project-required logistics including but not limited to flights, hotel, conference facilities, transportation, etc.

  • Manage petty cash and payments including standing payments such as utility, rent, tax, etc.

  • Maintain accurate records of expenses, and purchases with proper documentation

  • Support HR functions and ensure the office policies are enforced and handle employee’s queries regarding office management issues

  • Liaise and engage with stakeholders including vendors, and governmental offices for any licenses and permit-related issues to ensure compliance 

  • Serve as the focal person to handle any maintenance, facility management, and run office errands

  • Handles walk-in clients and customers as well as organize and schedule appointments and client meetings

Direct supervisor: Director of Finance and operations

Department: Finance And operations

Job Grade:  Mid-level (2-5 years of experience)

Job Requirements

Qualifications: 

  • 2-5 years of experience as an Office manager, administrative and operations assistant or finance assistant in a fast-paced environment

  • A minimum of a BA Degree in Business Administration, Accounting, finance, or any other fields

  • Excellent communication and customer handling with great interpersonal skills 

  • Proficiency in Microsoft office packages (Excel, Word, PowerPoint, Outlook, etc. ) and experience in Peachtree is a plus

  • Excellent organization and time management skills with the ability to multi-task

  • Ability to work under pressure independently as well as part of a team
