ROLE PURPOSE
The position holder will be responsible to serve as the first point of contact for Plan International Ethiopia who is responsible to provide front desk reception, Administrative Service, Air ticket service, visitors support and admin petty cash for the organization.
ACCOUNTABILITY AND MAIN WORK ACTIVITIES
Plan has a performance management and accountability matrix SOP. Every position holder is expected to adhere to the SOP and review and review her/his responsibility against the accountability matrix.
Warehouse Management (60%)
Check stock at arrival/dispatch
Follow Procedures for stock management in place
Receive stock release
Responsible for collecting distribution plan from program
Make stock available for dispatch
Responsible for the day-to-day activities of stock receipt, issue, transfers, returns, disposal and adjustments
Stock and movements are up to date, accurate and reliable on the bin card and the stock ledger
Implement safety and security protocols
Supervise the assistant
Stock is tidy and organized as per procedures
Alert on store issues (capacity overload, product issues)
Keep document files of inbound and outbound logistics for reference and reporting
Lifecycle management (15%)
Reporting (25%)
Stock movements are recorded in time and accurately
Report on stock data on a regular basis / make stock data available
Report on Asset data on a regular basis
Administrate approved disposal
Support the bi-annual inventory of Asset and Stock
Others tasks can be assigned by the supervisors as required
Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)
Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).
Ensure that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
Ensure that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
Job Requirements
QUALIFICATIONS AND EXPERIENCE REQUIREMENTS
Qualifications/ experience essential
BA Degree or Diploma in Business Administration, Logistics Management, Purchasing, Supplies Management or related fields
3-5 years of relevant work experience in INGO environment, involving in the procurement of both emergency and development programs out of which 1 year at supervisory level
Sound analytical and problem-solving capability;
Ability to influence others’ behaviour through effective relationship building; through current knowledge and understanding of relevant policies, frameworks etc.
In-depth knowledge of project processes, procedures, and systems
