Job Description
Duties & Responsibilities
· Rack and maintain Certificates of Insurance
· Provide full administrative support, including phone, typing, filing & distribution of correspondence
· Schedule and coordinate meetings/special & tenant events as requested
· Assist in lease administration activities, including tenant contacts & insurance information
· Responsible for obtaining and filing emergency contact lists, issuing and updating building pass list, and other records pertinent to tenants and vendors
· Manual Adjustment Forms – PA will be required to prepare manual adjustment forms for all miscellaneous Tenant Service Requests (ie requested special services, keys)
· Maintains various logs and information pertaining to the building, equipment, services, tenants, and clients and advising management of actions needed
· Provide subject matter expertise, guidance, & direction regarding property management for assigned locations
· Ensure synchronization of efforts and adherence to Property Management Plan
· Review and compile Lost, Theft, Damaged, and Destroyed (LTDD) reports to ensure information is screened and processed in a timely manner
· 3-4 years of commercial real estate accounting and/or commercial property management experience
· FMCG/Technology/ Contraction/ Facility company background
· Experience with web-based Accounts Payable/Receivable
· Establish and maintain property, lease and vendor files (including but not limited to contact lists, construction, legal, inventory lists, correspondence
· Minimum of 4 years previous property management experience
· Have a driver license / able to drive a car
· Ability to give and take direction, interface with decision makers in a professional manner and maintain confidential information
