About Dar

Dar Al-Handasah Consultants (Shair and Partners) is a privately-owned international multidisciplinary consulting organization in engineering, architecture, planning ,environment, project and construction management, facilities management and economics, founded in 1956, its principal design head office and technical support facilities are located in Beirut, Lebanon; Cairo, Egypt; London, UK; Pune, India; and Amman, Jordan; with a network of 47 permanent local branch offices  throughout the Middle East, Africa Asia and Europe of which 23 are on the African continent.

Administrative: 

  • Worked for arranging several workshops, seminars, and meetings as a team member. 

  • Manage local and international travel for the project staff

  •  Ensured security clearance, travel authorization, tickets, etc for field visits of project officials;

  •  Process the application/renewal of Visa, Work Permit, and Resident ID of Expatriate employees and their dependents

  • Maintain Inventory and records for vehicles, assets, office supplies; 

  • Deal with travel and transport arrangements, material distribution to the field, etc.

  • Assist in hiring individuals for any services and deal with Suppliers/vendors.

  • Assist to ensure security management of the office and project assets through monitoring of security guard; 

  •  Perform any other duties and responsibilities assigned by Superiors.

  •  Work assigned duties by the Project Manager as and when required.

Human Resource (HR):  

  • Prepare recruitment plan and initiate advertisement and other necessary formalities as per the company rules and regulations to ensure and timely recruitment of employees.

  • Assist to ensure monitoring of staff attendance, leave record, and official movement during office hours; 

  • Prepare supporting documents for renewal of Work permit/resident ID of Employees.

  • Monitor Leave records and maintain personal files of the project personnel;

  • Prepare recruitment reports.

Procurement:

  • Assess procurement requirements, prepare procurement plans, draft specifications and initiate procurement process; 

  • Assist to prepare procurement/tender documents for RFQs, RFPs, and procurement budget;

  • Check quality of deliverables and ensure that procured items are delivered properly as per specification as well as contract agreement and deal with performance evaluation of vendors;

  •  Assist to ensure timely procurement of goods/logistical requirement and services through monitoring the procurement progress with the Procurement unit and follow up with vendors;

  • Prepare reports on procurement for Administration Manager and others.

Functional Competencies:

  • Maintain relationships with primary and secondary stakeholders, focus on impact, respond positively, and give feedback timely & also timely response to queries 

  • Dealing capacity with high-level government officials, technical specialists, Programme Clusters, and Management. 

  • Demonstrate good oral and written communication skills 

  • Demonstrate openness to change and ability to manage complexities 

  •  Demonstrate administrative skills and demonstrated a results-oriented approach to work.

Development and Operational Effectiveness

  • Strong administrative and analytic skills along with timely procurement of goods and services. 

  • Ability to maintain records, skills of compliance of the goods & services as well as communication and presentation skills are required. 

  • Ability to accommodate cultural sensitivity and respect human rights and gender issues in the workplace. Ability to work in a multicultural environment 

  • Computer and internet expertise are mandatory. 

  • Ability for establishing and maintaining good working relationships to facilitate work goals.
