Job Description
Main Purpose
The Finance & Grant manager is responsible for the day-to-day financial and grants operations of Hope for Justice; train and mentor staff on policies and procedures, donor regulations and financial best practices.

Manage a process towards building a robust financial system in HfJ’s operations
Ensure that adequate local controls are in place and adhered to, especially in regard to financial procedures;
Assist the Finance & Admin Director in the preparation of monthly budget variance analysis;
Organize and maintain comprehensive files with all relevant documentation related to finance, and ensure compliance at all levels of implementation.
Supervise the finance staff, and assist as needed in the completion of their tasks;
Ensure that the financial management of HfJ is kept in a fiduciary proper manner and that all reporting and records are maintained appropriately;
Ensure all financial & administrative tasks are completed accurately and timely, Close follow up and guidance on posting process
Lead closing of monthly accounts and preparing financial statements for timely submission;
Coordinate and Follow up tax obligation declarations and payments timely;
Monitor project expenditure and implement corrective action in line with agreed budgets and donor requirements
Assist the Finance & Admin Director in the preparation of monthly cash flow projections (fund requests);
Supervise Implementation of auditors advise/ qualifications (if any)
Coordinate Stock and Fixed asset count annually and lead reconciliation against stock records and Fixed asset register thereafter
Assist during Donor and Government evaluation as required
Assist in preparation of Government and Donor reporting
Follow up Maintenance and update Fixed asset register
Reconcile and review expense accounts and ensure that proper clearance procedures have been followed;
Manage various accounting transactions, e.g., payroll, grants, final payments, travel claims, etc., to ensure correctness of disbursements and adherence to relevant staff rules, financial regulations and rules, administrative instructions, and practices;
Ensure reconciliation of bank statements is carried out monthly and discrepancies are addressed;
Provide guidance and training to colleagues, as required;
Work closely with, and report to, the Finance & Admin Director to ensure smooth operation of all finance matters.
Grant Management
Work closely with technical staff to ensure that grants are moving forward, and that obligations are not overspent
Maintain comprehensive data on each Grant/Project for reference, ensure filing of grant related documents electronically and maintain and update grants follow up document
Check and approve Payment/Purchase requests against specific Donor and organizational budget and ensure proper recording of transactions to reflect all expenditures in line with agreed donor’s/cost codes
Assistance in identification of promising grant opportunities in consultation with technical and management staff
Prepare reports as per Donor and management requirements

Prepare Weekly/monthly update report to the Finance & Admin Director on budget utilization and transfer
Participate and assist the Finance & Admin Director during project proposal writing and budget preparation
Participate in the facilitation of the grant review process
Participate in monitoring visits with national and regional technical staff to ensure that funds allocated are used for specified purposes.
Work with technical staffs as needed to ensure understanding and compliance with grant agreements.
Assist the Finance & Admin Director in organizing awareness training for newly joined staffs and /or new grant.

- Programme activities, contract, and finance activities are administered in accordance with the terms and conditions of donors.
- Strong financial management system and process is maintained, accurate, current, and complete disclosure of financial transactions as well as being compliant with HfJ’s financial procedures.
- Account reconciliations are conducted and appropriate procedures are in place and executed, as applicable, to resolve any differences.
- Direct Supervision and Guidance provided to Finance staff

Experience & Education
- Bachelor’s Degree in Accounting/ Business Administration/ Commerce/ Finance
- At least 5 years of total experience with minimum 2 years of work experience in senior role in humanitarian or development programs/industry in Finance and/or Grants department with specific budget development and management skills
