A. JOB SUMMARY
Working with and reporting to the Operations Director, a Pharmacist/Procurement Specialist assist in planning, organizing, directing, and controlling the procurement of medical supplies requests of Orbis Ethiopia Programs and monitor proper handling, storage, and issuance of drugs and other pharmaceuticals, and prepare monthly reporting of medical supplies according to the police and procedure manual.
Under the overall supervision and guidance of Orbis International Ethiopia’s Operations Director, the Pharmacist/Procurement Specialist will have the following specific duties and responsibilities:
Assist the Operations Director in developing pharmaceuticals, purchasing, and storage handling procedures and standards in accordance with national policies and advise the supervisor for proper implementation
Assist the Operations Director in monitoring proper stock control, utilization, timely ordering and restocking of drugs, equipment, and consumable medical supplies
Handle the procurement of the day to day of medical supplies, equipment, drugs, and etc as per the lead time.
Maintain procurement delivery tracking sheet that helps to monitor the status of the procurement request and make ready weekly and monthly data for proper decision making
Check and inspect incoming consignments to ensure reconciliation is done against documents of approved purchase requisition, and commercial invoices.
Handle import permit certificate from Food and Drug Authority
Handle custom clearance of medical supplies procured from abroad
Participate in the year end stock and fixed asset inventory
Make ready all the required /necessary/ documents available for external Auditors
Assist the Operations Director in periodically revising suppliers/preferred/vendors database
Assist the Operations Director in compiling the yearly procurement plan of all programs
Generate weekly, monthly, quarterly, and yearly reports in time
Provide to all concerned weekly and monthly procurement tracking update
Assist the Operations Director in reviewing of specifications, and provide support in international procurements
Supports the Store Clerk in the issuance of the right kinds of medical supplies, drugs, and equipment according to the request and per the policy and procedure
Gives proper explanations and direction to users/programs/ on the type of medical supplies/drugs/ before their expiry dates
Support the Operations Director in ensuring that all types of medicines and supplies are properly kept and maintained
Assist the store Clerk in monthly stock count
Undertakes any other duties that may be assigned by the Supervisor

Required Qualification
BA degree in Pharmacy and Supply Chain management/Accounting/ or related field of study
Experience
5 years of directly relevant experience in procurement, storage and distribution of pharmaceuticals
Required Skills, Attitudes and Attributes
Good Customer handling and awareness of quality care
Awareness of concepts and strategies of supplies
Awareness of MOH and donors’ guideline
Strong oral and written communication
Experience in the usage of computers and office software packages
