Junior Finance and Admin Specialist

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) is an international cooperation enterprise. The Civil Peace Service (CPS) Programme of the GIZ works worldwide toward the prevention of violence and the promotion of peace with communities affected by conflict. The CPS Programme works on the causes and consequences of conflict and violence, using capacity building of staff, organisations and local communities as the main approach.
The GIZ Civil Peace Service (GIZ-CPS) has been operating in conflict transformation activities in Ethiopia over more than fivteen years. It has been aiming to strengthen the capacities of its partners on national, regional and local level for the development of peace mechanisms and conflict transformation strategies to systematically and sustainably address conflicts through methods such as dialogue and mediation.
Responsibilities and Tasks
Handle financial processes related to payments/bills and settlements: correctness and completeness of payment settlements and supporting documents (travel settlements, fuel settlements etc.).
Handle petty cash and corresponding cashbooks, cash withdrawals and emergency fund handling. Post entries using WINPACCS
Check and prepare the end-of-month accounts from the project cash books and vouchers to the officer responsible.
Prepare contracts, and oversee local subsidy processes, under the supervision of the Finance and Admin Specialist.
Check logbook entries and fuel consumption. Update logbook on private trip voucher numbers.
Facilitate events (workshops, staff meetings and PR related): collect price quotations from hotels, ensure necessary details for event are communicated and carried out by hotel, payment arrangements and payment; facilitate catering and travel arrangements for participants.
Facilitate administrative and travel arrangements for new team members, partners and guests.
Settle withholding tax and VAT refunds with country office as per schedules.
Process monthly declaration of goods and services to the Ministry of Revenue over the online portal.
Support logistics and procurement as necessary.
Facilitate administrative tasks related to drafting letters and external communication; compile and file documents.
Accompany teams to field trips and handle petty cash payments.
Assist in year-end inventory count.
Contribute to smooth operation of the programme and tasks as they come up
Assist in preparation of external and internal audits.
Assist in Local subsidy financial settlements.
Job Requirements
Minimum BA in business administration, accounting or similar studies.
Fluent in English and Amharic (writing, speaking, listening).
Very good working knowledge of ICT (related software, phone, fax, e-mail, the internet) and computer applications (e.g. MS Office incl. Excel)
Professional experience
Up to 2 years of experience in the relevant field in Government or NGO or international organization.
Knowledge of WINPACCS or other accounting software
Other knowledge, additional competencies
strong teamwork and interpersonal skills
ability to express oneself well both verbally and in writing (English and Amharic)
coordination and networking skills
excellent proficiency in MS Office Suite (word, excel, power point, outlook)
good knowledge in any accounting software
willingness to go on field trips in remote areas
good organizational and time management skills to prioritize workloads and tasks.
willingness to engage in tasks as required by management.
